Job description
Schwing Bioset is seeking a highly organized and proactive in-person Executive Administrator for our Stillwater, MN office to directly support the President and up to four other executives. This role requires strong leadership skills, excellent communication abilities, and a keen eye for detail to maintain a productive work environment. Regular working hours M-F 10am-6pm.
Key Responsibilities:
- Provide high-level administrative support to executives, including calendar management, travel arrangements, and meeting coordination.
- Draft, review, and manage legal documents, contracts, and correspondence with precision and confidentiality as needed.
- Act as a liaison between executives, internal teams, and external stakeholders.
- Research and analyze legal information, staying up-to-date with relevant regulations and industry standards.
- Maintain and organize corporate records, legal files, and other critical documentation.
- Handle sensitive information with professionalism and discretion.
- Must be flexible with hours to support President's needs including some nights and weekends.
Qualifications:
- Proven current experience as an Executive Assistant or similar role; paralegal certification or equivalent experience is highly desirable.
- Strong knowledge of legal terminology, processes, and documentation.
- Exceptional organizational and multitasking skills, with a keen eye for detail.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint) and familiarity with legal software/tools.
- Excellent communication and interpersonal skills.
- Ability to prioritize and thrive in a fast-paced environment.
