Position Summary:
Under the direction of the Clerk, this position is responsible for acting as the office receptionist, operates office equipment, records various payments and takes dictation when needed.
Job Responsibilities and Duties include but may perform other duties as assigned.
1. Carries out duties of receptionist for the Scioto County Commissioners Office.
2. Answers routine telephone inquiries from and contacts with local officials and general public.
3. Helps resolve inquiries, sometimes negative, from citizens.
4. Operates office equipment including computer, calculator, fax machine, copier and scanner.
5. Composes and types routing business letters and various reports.
6. Bills offices for telephone and mailing service.
7. Types purchase orders, vouchers, transfers and appropriation measures.
8. Calculates payment to various accounts for maintenance.
9. Calculates balance of appropriated amounts and considers transfers within the appropriations to determine funds available.
10.Files all correspondence and reports.
11. Records payments on accounts in the ledger and writes up pay-ins.
12. Takes dictation, transcribes notes and types from notes.
13. Records all appointments in the appointment calendar.
14. Executes business of board meetings; writes up or dictates/types minutes in journal, posts minutes in the absence of the Clerk.
15.Holds alternate meetings in absence of Clerk.
16. Must display a positive and cooperative attitude with all other staff, departments, and agencies.
17. Will have the ability to carry out duties reliably and predictably.
18. Will have all job related meetings, vacations, conferences, training and/or appointments approved by the appointing authority prior to confirmation, according to department policy.

Necessary Knowledge, Skills and Ability.
Considerable knowledge of maintaining systematic records of financial transactions in ledger form, establishing projecting, and sustaining acceptable public image, normal operating procedures in the Commissioners Office usually relating to clerical or support operation; electronic data processing utilizing computer software.
Skills in preparing typed copy from notes or dictation; operating computer with speed and accuracy, equipment operation (i.e. Computer, fax machine, copier, calculator)
Ability to carry out detailed but basic written or verbal instruction; deal with problems involving several variables, in familiar context, understand system of bookkeeping used in the office, read, copy, and record figures accurately; add, subtract, multiply and divide whole numbers; transcribe dictation; make appointments and screen mail; maintain accurate records, write routing business letters reflecting standard procedures.
Ability to arrange items in numerical and alphabetical order, work alone on most tasks; answer routing telephone inquiries from the public; handle sensitive confidential from the public, resolve complaints from citizens and government officials.
