The Assistant Property Manager reports to and works under the guidance and direction of the Property Manager. She/he is responsible for leasing, marketing and maintaining positive resident relations of multi-family residential apartments. Under the direction of the Property Manager she/he assists with organizing all site operations to obtain maximum efficiency and productivity, maintaining the physical asset, providing for a quality living environment for residents and establishing a positive, productive working relationship with the community residents and staff. The Assistant Property Manager maintains ongoing visible inspection and policing of community grounds.


MAJOR FUNCTIONS OF THIS JOB INCLUDE

Accounting/Bookkeeping and Administration

  • Understand the Apartment Association lease and contracted credit report application.
  • Accept rental payments and post rents to the computer.
  • Assist in lease transactions by typing leases, gathering applicant's history and credit
  • Provide general clerical assistance to community office (i.e. answer telephones, take messages, typing, filing, etc.
  • Maintain accurate monthly commission sheets on leases, renewals and delinquencies for bonus purposes.
  • Assume the Property Manager's duties/authority in absence of immediate supervisor in accordance with company and community guidelines.

Community Marketing/Leasing

  • Greet prospects and qualify by covering all criteria. Immediately records all telephone and in person traffic on appropriate reports. File and maintain own guest cards according to established procedures.
  • Tour community and target apartment/model. Highlight amenities (i.e. pool, clubroom, etc.) and close the sale. Have prospect complete application and secure deposit. Update unit availability reports as needed.
  • Process applications for approvals (i.e. credit check, rental history, etc.) and type leases. Inform Property Manager of qualified/unqualified applicants. Follow up with applicant regarding status.
  • Type leases and complete appropriate paperwork accurately and on timely basis. Review with Property Manager and obtain signature. Ensure apartment is ready for resident to move-in on agreed date.
  • Immediately follow-up on prospects unable to close (i.e. phone calls, "thank you" notes, etc.) and attempt to close sale again. If unable to help prospect, send to sister properties to meet their needs.
  • Secure new resident's signature(s) on appropriate paperwork prior to move-in. Orient new residents to community (i.e. turns over keys, reviews community rules, regulations and procedures, point out mail boxes and review amenities, etc.).
  • Assist in monitoring renewals. Distribute and follow-up on renewal notices..
  • Distribute all company or community-issued notices (i.e. bad weather, emergency, etc.).


Resident Relations

  • Receive all telephone calls and in-person visits. Listen to all resident request, complaints and comments. Immediately complete maintenance Service Request and inform the maintenance team. Answer questions for residents about community, repairs, rent, rules, etc. Follow-up on a timely basis if not able to respond to resident request or problems immediately. Ensure consistency in dealing with residents on all matters.
  • Ensure maintenance repairs are handled satisfactorily by contacting residents with completed Service Request on a weekly basis.
  • Assist in planning resident functions (i.e. parties, contests, etc.). Attend functions and participate as a host for any functions as directed by the Property Manager.
  • Enforce policies of the community.

Attendance is an essential job function.


OTHER ASPECTS OF JOB

1) The Assistant Manager may be required to assist in special projects or activities designated by the company. This may include due diligence, property acquisition/disposition, serving on or participating in company sponsored or sanctioned committees, organizations, functions, etc.

2) Attends and participates in training programs as required.

Qualifications:

Position requires a minimum of 1 year experience in a customer service related industry (i.e. retail sales, real estate sales, hospitality, etc.); 6 months apartment leasing experience or a combination of accounting skills/education with customer service experience is strongly preferred. Strong attention to detail and sales ability is a must. 2-3 years experience as an Assistant Property Manager in a conventional apartment community is preferred. Must maintain a high degree of accuracy in a fast paced environment

  • Requires mobility (i.e. climb stairs) to tour, show and inspect apartments on a daily basis
  • Requires use of repetitive motion of hand/wrists in using computer.
  • Must have normal range of vision to complete applications leases, general paperwork and handle computerized bookkeeping duties
  • Must be able to read and write in English at the high school level to prepare paperwork, complete reports and interpret instructions.
  • Must have mathematical skills at thigh school level to calculate prorated rents, add-up deposits
  • Must be able to prioritize and prepare computer reports
  • Must have excellent written and verbal communication skills, and proficiency in Microsoft Office products and property management software (MRI strongly preferred)
  • Must have excellent interpersonal skills and handle stressful, urgent, novel and adverse work situations on a daily basis
  • Must be able and willing to work weekends
  • Position requires periodic travel by automobile to handle work-related activities
