Executive Assistant Support for Corporate Affairs

The ideal candidate thrives in fast-paced environments and excels at managing multiple tasks for four Corporate Affairs professionals, while lending support to the broader office team as needed. Your responsibilities will include extensive calendar management, travel coordination, event planning, expense report preparation, and more.

Key Responsibilities :
- Manage and coordinate multiple executive calendars
- Arrange travel logistics including flights, accommodations, and ground transportation
- Provide on-site support for corporate events and oversee Boston office management activities
- Organize meetings and conference calls, including logistics, agenda creation, materials preparation, attendance tracking, and minute-taking
- Prepare and process expense reports, contracts, SOWs, POs, and legal document requests
- Maintain consultant agreements, travel expenses, and meeting agendas
- Upload and manage digital assets for Corporate Affairs and maintain portal branding
- Oversee SharePoint permissions and serve as Smartsheet and SOX system administrator
- Schedule interviews and assist with budget tracking
- Foster productive and positive relationships with internal administrative teams and external administrative partners
- Perform additional duties as required
