SciTech Services, Inc. (SciTech) is seeking a Patient Coordinator to provide clinical research and patient services support to the National Institutes of Dental and Craniofacial Research (NIDCR). The Patient Coordinator will work with the research team to provide clinical research and patient support services.
Major duties include:
- Collaborate with the Skeletal Diseases Mineral Homeostasis Section (SDMHS) research team.
- Request, gather, and collate outside medical records, imaging studies, lab results and pathology specimens.
- Organize and distribute patient medical information from the referring physicians during screen process and study.
- Screen initial patient eligibility criteria for study protocols based on guidance and checklist provided.
- Create and track patient study calendar for each patient.
- Schedule tests and consultations needed, as laid out by the study team, for patient study screening and research visits and coordinating appointments with patients.
- Efficiently coordinate the care of patients with the research team and between multiple NIH medical/lab departments.
- Coordinate and guide patients through visits, procedures, and follow up appointments.
- Inform staff of changes and notify patients or families regarding changes to their schedules/calendars.
- With study team guidance, organize clinical team file shared drive and verify that necessary documents are stored in the proper location.
- Verify that appropriate study documentation is added to patient medical record (CRIS).
- Handle inquiries related to NIDCR protocols from current and prospective patients and physicians within and outside of the NIH based on study team guidance.
- Create and update databases, run queries, and extract data from the patient medical record.
- Enter data entry from source documentation into research databases.
- Maintain e-CRF’s for study team.
- Attend and participate in bimonthly SDMH protocol management, weekly Quality Assurance/Quality Improvement meetings, Radiology Rounds, and meetings with immediate study team.
- Organize and maintain study teams’ calendar of patient interactions and due dates.
- Authorize Travel, Lodging, and Meal Vouchers for patients.
- Assist with direct bill hotel and initiate financial needs assessments.
- Collect patient questionnaires and data.
- Transport study samples from clinic to research lab.
- Communicate patient schedules to the clinical and laboratory teams to ensure teams are ready to collect and process samples at scheduled times.
Job Requirements:
- Bachelor’s degree desired or Associate degree with a minimum of three years’ administrative and patient care coordination experience.
- Proficient in Microsoft Office Suite (MS Word, Excel, Outlook, PowerPoint).
- Ability to establish and maintain working relationships with internal and external staff members, and to work independently.
- Demonstrated ability to plan, organize and prioritize tasks.
- Strong ability to solve problems and troubleshoot obstacles.
- Excellent interpersonal skills, ability to communicate both verbally and in writing, with a positive attitude.
