POSITION TITLE: Ward Clerk
Department: Nursing
Reports to: Charge nurse, DON, CNO

Mission of Department: Dedicated to enhancing good working relations within the department as well as with patients, families and visitors.
Purpose of Position: Assists the nurse in providing the best possible patient care by communicating effectively utilizing the telephone and the intercommunicative system. Communicates instructions to patients, visitors, staff and other hospital departments. Handles charts and sees that the patient record is in order. Preference will be given to those with a CNA; if one needs to be obtained, it must be obtained within 1 year of hire.
Essential Functions:
- Register all patients.
- Sign patients up for patient portal and follow up with patient after dismissal.
- Performs clerical and receptionist duties on the nursing unit as an assistant to the professional nurse.
- Respects, at all times, the confidentiality of patient records and uses complete discretion when discussing patient information.
- Performs public relations duties with constant vigilance when the Business Office is closed.
- Assist with the provision of a safe environment and properly functioning equipment.
- Participates in orientation of new personnel.
- Demonstrates a high level of mental and emotional tolerance and even temperament when dealing with patients, families and coworkers at all times.
- Uses tact, sensitivity, sound judgment, and professional attitude when relating with patients, families, and coworkers at all times.
- Maintains professionalism in manner and attire (Wear appropriate scrubs)
- Does not allow non-important interruptions to waste time at the expense of assigned duties and patient care priorities.
- Attends/participates in monthly Nursing Department meetings directed by DON/CNO
- The telephone and patient calls are answered and messages are relayed as necessary to the appropriate persons.
- Visitors are received and directed.
- The nursing station is kept in order. Paper, office supplies, forms, etc. are ordered and put away.
- Patient folder are kept clean and in order. Assist in checking for admission signatures/ and discharge order prior to dismissal.
- The Ward Clerk functions effectively and cooperatively as a liaison for the nurse in interdepartmental contacts. The nurse is kept informed of the presence of other department personnel on the unit and transmits reports or requests from other departments.
- Admissions, dismissals, and transfers of patients are coordinated.This includes, assist in obtaining all necessary paperwork/records/ EMTALA forms when patients need to be transferred to another facility.
- Any paper orders need to be verified prior to scanning.
- When scanning, verify the correct patient sticker is on every sheet (includes telemetry strips) and scanned into the correct record.
- Past records are obtained.
- Fax all medications to the hospital pharmacist, if requested.

As assigned by Charge Nurse, DON, or CNO.
The primary duties of the Ward Clerk will be as listed above. The CNA cross-training allows for the clerk to assist in VS, etc with registration if requested by the nursing staff, as well as the ability to become part of the pool to be called with critical needs.
Expectation of Service: This is a non-exempt 32-40 hour per week position. Regular and punctual attendance is required. May require some flexible scheduling.
Physical Requirements: This position requires continual sitting and typing at a computer terminal, answering phone, some walking, twisting bending, stooping, and lifting of up to 25 pounds, in addition to assisting with CNA duties when requested. (See CNA job description)
Education, Qualifications, Experience:
A minimum of high school diploma.
CNA Certificate or must be obtained within 1 year.
Previous hospital or nursing related experience desirable.
Clerical experience also desirable.
Computer skills also desirable.
Personal Characteristics:
Must be able to work closely with other hospital personnel, physicians, patients and family.
Must be able to meet public in a cheerful and pleasant manner.
Must have pleasant phone voice.
Works under moderate stress, dealing with large number of personnel and public relation duties.
Knowledge, Skills, and Abilities:
Maintain skills and knowledge to competently provide ward clerk services.
Ability to write legibly.
Ability to print and spell correctly.
Ability to pay attention to detail, accuracy and promptness.
Ability to meet the public in a professional manner.
Ability to work closely with others.
