Pre-Litigation Case Manager
Reports To: Pre-Litigation Associate Attorney
Summary / Objective:
We are seeking an experienced and detail-oriented Pre-Litigation Legal Secretary to join the Scott Vicknair team. The ideal candidate is proactive, organized, and thrives in a fast-paced, client-centered environment. You’ll be the first line of legal support for our attorneys, working closely with clients, insurance companies, and medical providers to build strong cases before they enter the litigation phase.
Key Responsibilities:
- Assist with new client onboarding and file setup, including gathering initial information, issuing letters of representation and spoliation letters.
- Maintain accurate and up-to-date files in case management software.
- Coordinate medical treatment and communicate with medical facilities to ensure timely documentation.
- Track medical treatment status and keep clients informed of case progress.
- Prepare demand letters and settlement packages tailored to the case type.
- Obtain, organize, and review documentation including medical records, bills, police reports, insurance records, wage loss documentation, and employment files.
- Maintain strong, empathetic communication throughout the life of the case.
- Communicate professionally with clients, insurance representatives, providers, and internal team members.
- Handle other administrative and case-related tasks as needed.
Qualifications:
- 1 years of experience in a pre-litigation paralegal role, preferably in personal injury law.
- Strong knowledge of Louisiana personal injury law and insurance claim processes.
- Excellent written and verbal communication skills.
- Proficiency in legal case management software (e.g., Filevine, etc.).
- High attention to detail and strong organizational skills.
- Ability to manage deadlines and multitask efficiently.
- Empathy and professionalism when dealing with clients who are in crisis or pain
Physical Demands:
This position requires the ability to sit for extended periods while working at a computer, as well as frequent use of hands and fingers to operate office equipment. The employee must be able to communicate effectively in person, over the phone, and via email. Occasional standing, walking, bending, and lifting or moving objects up to 20 pounds may be necessary. The role also requires the ability to maintain focus and attention to detail in a fast-paced, collaborative office environment with regular interruptions.
Job Conditions:
This position operates in a professional office environment and requires the ability to work full-time, Monday through Friday. The role routinely uses standard office equipment such as computers, phones, printers, scanners, and filing systems. The employee is frequently required to sit for extended periods, perform repetitive tasks, and work at a computer. Some walking, standing, bending, and lifting of files (up to 20 lbs.) may be necessary. Occasional overtime may be required based on case deadlines or client needs. The ability to manage multiple priorities in a fast-paced and emotionally sensitive environment is essential.
