What are the responsibilities and job description for the Field Admin I position at Scout Energy Management?
Duties & Responsibilities
‐ Assist with coordination of office activities and operations to secure efficiency and compliance of company policies
‐ Greet vendors and visitors with a positive, helpful attitude
‐ Handle all administrative tasks within the office such as filing, communication with vendors, answer / forward phone or email requests, sort & distribute mail
‐ Assist operations (field personnel, Foreman & Superintendent) with administrative needs
‐ Code invoices accurately & timely
‐ Submit timely reports and invoices using applicable Scout operating systems (Open Invoice)
‐ Track open tickets submitted by operations
‐ Attend safety meetings and actively participate in discussion when possible
‐ Identify safety opportunities to help reduce costs
‐ Keep reception area tidy
‐ Arrange couriers, appointments and meeting requests as requested by Foreman or Superintendent
‐ Coordinate office activities and operations under the direction of the foreman to secure efficiency and compliance of company policies
‐ Assist field personnel in communicating with other departments throughout Scout
‐ Support budgeting and accounting procedures when needed
‐ Create and update records and databases with personnel, financial, and other data
‐ Track and stock office supplies, place orders when necessary (with foreman approval)
‐ Prioritize tasks and work with little supervision
‐ Perform other various tasks as assigned by supervisor

Education & Qualifications
‐ Legally authorized to work in the United States
‐ Proven experience as an office administrator, office assistant or relevant role
‐ Possess a valid driver’s license
‐ Able to pass a pre‐employment drug and background check
‐ Must possess a high school diploma or GED equivalent from an accredited, state‐certified program
‐ Certifications from trade schools and/or professional organizations are preferred
‐ Must be capable and willing to work overtime as required
