POSITION DESCRIPTION
Job Title: Executive Assistant
Position of Immediate Supervisor: Scout Executive/CEO
General Summary:
To support the professional staff and executive board to ensure efficient operations for the organization. This can be a part time or full time position. PTO, benefits, and a 403B retirement plan offered for full time employee.
Essential Duties and Responsibilities:
- Supervise and/or answer inquiries, prepare correspondence, and register members/customers for events via telephone, internet or direct mail.
- Coordinate and administer general business office activities.
- Provide a wide variety of administrative and clerical support to the Scout Executive and staff.
- Spend time covering the Scout Shop.
- Compose and initiate correspondence, including weekly newsletters and quarterly mailers.
- Schedule and maintain calendar of appointments, meetings and travel itineraries.
- Prepare and distribute minutes of executive board and executive committee meetings.
- Process incoming mail. Keep logs of incoming checks, invoices, statements, etc.
- Perform related duties as assigned or as the situation dictates.
Other work-related activities:
As determined by the Scout Executive, assist in other areas of council operations when needed: i.e. School Night Recruitments, Popcorn or Camp Cards Fundraisers, Distinguished Citizen Dinners, Sporting Clays, Council Events, and advising Council Operating Committees.
Required Knowledge, Skills and Abilities:
- Strong organizational skills.
- Solid knowledge of Microsoft Office products, Canva, and Mailchimp is essential.
- Ability to multi-task and work with accuracy and speed.
- Bachelor’s degree preferred.
- Type at least 35 words per minute with minimal errors.
Work Relationships:
This position requires maintaining a good working relationship with Professionals and other Support Staff. This position requires significant involvement with volunteers including recruiting, relationships, training, motivation, and direction.
Physical Activity:
This position may, from time to time, call for any of the following activities: climbing, stooping, reaching, standing, walking, lifting, fingering, grasping, talking, hearing, and repetitive motions.
Physical Requirements:
- Hearing acuity for verbal communication, conversations, face-to-face interactions, and/or responses via telephone & telephone systems
- Speaking ability for general communication and ability to clearly enunciate in conversations with others.
- Sedentary work, light work, medium and heavy work.
Mental Demands:
Reading, detail work, confidentiality, problem solving, language, stress, training, math, reasoning, verbal communication, written communication, customer contact, multiple concurrent tasks and constant interruptions. Knowledge and ability to use computer software is desirable but not mandatory.
Working Conditions:
- Work is indoors in an office environment.
- Work involves exposure to noise from normal office machinery and exposure to computer screens.
- Inside and outside environmental conditions including extreme heat and cold.
Position Qualifications:
- Subscribe to the Scout Oath, Scout Law and leadership standards of Scouting America.
- Helpful to have had BSA field operations.
- Ability to communicate effectively, written and verbal.
- Ability to inspire staff and volunteers.
Accountability:
Accountability will be determined through the development, implementation, and regular reviews of specific performance and development system (PDS) goals.

You will be expected to present yourself in a positive manner by maintaining a neat and clean appearance.

Pay: $15.00 - $16.50 per hour
