Job Description:

PRIMARY PURPOSE/GENERAL DESCRIPTION:

Reporting to the Director of Advancement Services and Operations, the Advancement Operations Database Coordinator supports the operations of the External Relations Institutional Advancement (ERIA) department by maintaining the integrity of the Raiser's Edge database,managing the accuracy of data from various platforms into the Raiser's Edge and collaborating with division team members on projects related to fundraising, gift processing, alumnae and parent engagement, stewardship, and community communications.

DESCRIPTION OF DUTIES AND RESPONSIBILITIES:

ESSENTIAL FUNCTIONS:

  • Conduct regular updates of constituent contact information obtained through self-report forms, staff contact, returned mail and perform clean up data of as needed.
  • Update records as appropriate in response to solicitations, recording new contact information and/or constituent contact and solicitation preferences as requested.
  • Understand gift accounting functions, including troubleshooting, providing documentation for the auditors, and following best practices - using CASE (Council for the Advancement and Support of Education), AASP (Association of Advancement Services Professionals) and IRS regulations.
  • Assist the advancement services team in managing the accuracy and integrity of donor and alumnae information, participate in gift entry audits and reporting; troubleshoot data discrepancies. Conduct constituent and alumnae record audits.
  • Assess gift accounting processes and recommend improvements.
  • Collaborate with ERIA Staff to build and run queries and reports that meet business needs and fulfill strategic initiatives.
  • Participate in the department reconciliation of gifts and pledges between The Raiser's Edge database and the College's general ledger.
  • Work on cross-departmental projects in support of the ERIA division strategies and goals.
  • Participate in project planning meetings contributing expertise based on knowledge of the data and systems used within the division.
  • Active support for the College's Principles of Community and Principles of Diversity in the performance of job duties.
  • Perform other duties as assigned.

REQUIRED KNOWLEDGE, SKILLS, and ABILITIES:

Individuals must possess knowledge, skills, and abilities to successfully perform the essential functions of the position or be able to explain or demonstrate how the essential functions will be performed, with or without reasonable accommodation, using some other combination of skills and abilities.

  • General understanding of donor-centric fundraising principles and practices and the ability to translate that knowledge into data management procedures.
  • Knowledge of current trends in database management, annual giving and gift management support, using CASE (Council for the Advancement and Support of Education), AASP (Association of Advancement Services Professionals), APRA (Prospect Research), and AFP (Association of Fundraising Professionals) professional association guidelines.
  • Ability to manage competing priorities and multiple tasks effectively with flexibility.
  • Ability to communicate effectively and work multi-functionally with diverse groups of students, faculty, and staff.
  • Must have good listening and customer service skills.
  • Highly organized and action-oriented with an ability to demonstrate problem-solving skills and attention to detail.
  • Proficient in Microsoft Office with advanced knowledge of Excel.
  • Understanding of email marketing, online surveying, and social media platforms as they are used in fundraising.
  • Ability to work individually and with project teams.
  • Must be invested in the College's mission and the work of institutional advancement to move the mission forward.

QUALIFICATION STANDARDS:

EDUCATION & EXPERIENCE:

Associate's or bachelor's degree is preferred oranycombination of education, training or experience that provides the required knowledge, skills, and ability to perform the job.

One to three years' experience with Raiser's Edge NXT or similar CRM and Online

engagement systems is preferred.

Experience in higher education or non-profit fundraising is preferred.

HOURS & CLASSIFICATION AND STATUS:

This is a regular status, full-time, 12-month, benefits-eligible, non-exempt position.

The regular hours of this position are Monday-Friday 8:00 am-5:00 pm.Hours may vary due to the needs of the College or department and may include some evenings and weekends.

Hourly rate range: $22-$24.50. The hourly rate of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty, and training.

SUPERVISORY RESPONSIBILITY:

None.

Ability to see within normal parameters. Ability to hear within normal parameters.Ability to bend and stoop, for example, to file. Ability to move about. Ability to lift and carry short distances up to 20 lbs., for example to lift or move office supplies, files, books, and packages.

Regular employment at the College is for no specified period; conditions and status of employment (hours, pay, title, duties, etc.) are subject to change at any time.
