The Office Receptionist will provide administrative support to ensure efficient operation of the office. This role will support managers and employees through a variety of tasks related to organization and communication. The Office Assistant is responsible for confidential and time-sensitive material. Familiarity with a variety of the field's concepts, practices, and procedures is essential, and the ability to effectively communicate via phone and email is required. The ideal candidate will have excellent communication skills, a friendly demeanor, and the ability to multitask effectively. 


Duties & Responsibilities:

  • Efficiently manage incoming phone calls, directing them to the appropriate personnel or addressing inquiries with general information.
  • Provide support to office visitors, ensuring they are directed to the relevant contacts promptly and courteously.
  • Oversee the customer service platform, ensuring inquiries are directed to the appropriate personnel or addressed with accurate information.
  • Uphold office security by adhering to established safety protocols and controlling access through the reception desk.
  • Maintain an orderly and presentable office environment, ensuring cleanliness and organization at all times.
  • Manage office supplies and refreshments as needed to support management and staff.
  • Assist the Operations Manager in fulfilling requests from senior management, ensuring timely and effective execution.
  • Manage the receipt, sorting, and distribution of daily mail and deliveries, ensuring prompt dispatch of outgoing correspondence.
  • Execute additional receptionist duties, including filing, photocopying, transcribing, and faxing, with precision and efficiency.
  • Facilitate company recurring payments and important monthly reporting. 
  • Assist in payroll by printing and distributing checks. 
  • Assist management with the new hires, ensuring required documents and information is completed. 
  • Utilize various platforms to effectively manage employee and customer accounts.
  • Schedule and confirm appointments, providing clear communication with customers.
  • Maintain and monitor employee training schedules to ensure compliance with regulatory requirements.
  • Manage and organize data in the company system. 

Requirements:

  • You must have a valid CA driver’s license and a reliable means of transportation. Applicants will drive occasionally to complete any management request. 
  • Must be reliable, team-oriented, dependable, responsible, trustworthy, and have a strong work ethic.
  • Must be able to pass a pre-employment background check, physical and drug test for informational purposes. Please be assured that the results will not be used against you.
  • Must be authorized to work in the United States.
  • Proficiency in Microsoft/Google Suites.
  • Multitasking and time-management skills, with the ability to prioritize tasks.
  • Working knowledge of office equipment, like printers. 
  • Solid written and verbal communication skills.
  • Ability to be resourceful and proactive when issues arise.
  • Excellent organizational skills.
  • Must be able to take direction from leadership.
  • Professional demeanor. 
  • Must be available for the work schedule set. 

Work Environment:

  • Professional business casual attire; must be presentable at all times.
  • The position requires long periods of sitting.
  • Actively viewing a computer screen for long periods of time. 
  • Occasional lifting of light office supplies.
  • Frequent interaction with both visitors and internal staff
  • The receptionist is stationed at the front of the office. 
  • Involvement in maintaining office security by following established protocols and managing access to the premises.

Skills & Abilities:

  • Excellent verbal and written communication skills - ability to speak and write English and Spanish fluently and relay information between the team, customers, and office staff.
  • Detail-oriented – pays attention to details at each customer’s location, with extra attention to special requests.
  • Friendly and Professional – able to deal with customers when they are on-site while cleaning is being performed
  • Team player – Ability to work within a team where members depend on each other to get work done.
  • Self-starter - Able to identify work that needs to be done and do it without being instructed.
  • Desire to learn- Seek new challenges, and take on additional responsibilities
  • Reasoning ability- Good common sense with the ability to solve practical problems.

Education / Experience:

  • College level education is required. (In-school or Post-Graduate)
  • Experience in a service environment is preferred, but not required. 
  • Ability to speak and write English and Spanish is preferred.

Employment Type:

Full Time: Typically Monday - Friday (8 am - 5pM)
