As an ARPA-H Conference Events Planner, you will play a crucial role in planning and managing Conferences and Events to support groundbreaking projects that have the potential to transform healthcare and save lives.

SD Solutions is seeking a capable and experienced Conference / Events Planner for large event planning, special event planning support and execution, to include, but not limited to, technical conferences, strategic off-site events, executive meetings, technology demonstrations, and showcase events is required.

Qualifications

  • Bachelor's degree in any field.
  • 3 years of experience with conference and event planning.
  • Experience with coordinating, planning, and facilitating virtual and in-person meetings and events.
  • Experience supporting executive-level personnel and working in an R&D environment is highly preferred.
  • Experience with event strategy and ability to design and execute impactful experiences.
  • Experience with Microsoft Office applications, including Word, Excel, Outlook, PowerPoint, and Publisher.
  • Knowledge of video and audio-conferencing equipment.
  • Possession of excellent verbal and written communication skills.
  • Experience working cross-functionally with multiple departments and teams to meet objectives.
  • Experience in developing and implementing communications strategies.
  • Ability to work in a collaborative team environment and independently with minimal guidance.
  • Ability to communicate effectively across all organizational levels and take complex subjects and make them easily understandable.
  • Ability to coordinate multiple events concurrently.
  • Ability to multi-task and pay strict attention to details.
  • Certified Government Meeting Professional Certification is a plus.
  • Prefer experience supporting DARPA or related Federal "ARPA" agencies (IARPA, ARPA-E, ARPA-H, HSARPA).
  • Alternate preferable experience at NIH, CDC, FDA, Public Health Service, NSF, or USDA.

Responsibilities

  • Research, assess, and identify potential conference venues and engagement opportunities.
  • Develop approval packages for leadership review and consideration.
  • Plan, organize and coordinate all aspects of meetings, conferences, symposiums, conventions, banquets and other events.
  • Collaborate with clients to understand their event objectives and create customized event plans.
  • Responsible for events and meetings budgets and successfully managing both a team and the logistical and financial aspects of all events.
  • Coordinate logistics such as venue selection, catering, transportation, audiovisual equipment, and accommodations.
  • Manage event timelines and ensure all tasks are completed in a timely manner.
  • Experience ensuring events comply with company policies, guidelines, and regulations.
  • Provide exceptional customer service to clients throughout the planning process and during the event.
  • Implement event marketing strategies to promote attendance and increase engagement.
  • Coordinate internal and external communications and facilitate all site selection, contract negotiation, rooming, food and beverage, registration, audio-visual, budget reporting, and expense reconciliation.
  • Apply leading-edge principles, theories, and concepts.
  • Contribute to the development of new principles and concepts.
  • Clearance, Citizenship, and Work Location

    Clearance requirement : Active Public Trust or ability to obtain Public Trust.

    U.S. citizenship or lawful permanent residency is required per contract.
