What are the responsibilities and job description for the Administrative Assistant position at Seal & Design?
PURPOSE: Provides general office support with a variety of clerical activities and related tasks such as answering incoming calls, greeting visitors, mail distribution, flow of correspondence, requisition and distribution of supplies, as well as processing of electronic files.
- Greets clients, visitors and guests, determines the purpose of visit and directs or escorts them to appropriate location
- Answers, screens, and forwards calls using an automated phone system; provides information and takes thorough messages as needed
- Scans and indexes shipping and production documents into the Company computer system
- Processes incoming and outgoing mail
- Maintains company conference room and vehicle calendars; notifies appropriate person of conflicts and assists with making alternative arrangements
- Monitors use of all office supplies, coffee supplies and sales/marketing literature and orders more as necessary.
- Monitors use of all office equipment, including postage meter, vending machines and phones to ensure they are working properly and maintained; notifies appropriate party of any problems
- Assists in maintaining a clean office environment through light housekeeping functions
- Coordinates company/customer luncheons and other special functions as needed
- Maintains confidentiality of information and in all interactions
- Cross-trains to support Accounting Department AP and AR data entry and processing
- Performs other administrative and clerical support duties as assigned
- Observes safety and security procedures
High school diploma or GED and 1-2 years’ experience in an office environment
Basic bookkeeping skills required
Proficiency working in a computer supported environment with business software, Microsoft office programs, telecommunication equipment and other standard office equipment
Excellent verbal, written and interpersonal communication skills
Ability to understand and follow verbal and written instructions
Ability to manage priorities and workflow; able to multi-task
Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm
