Job Summary:
We are seeking a reliable and detail-oriented Administrative Assistant to support the efficient daily operations of our WP Supply department. The ideal candidate will assist the WP Supply staff in coordinating various tasks, manage administrative duties, maintain organized records, and ensure smooth communication within the team and with external vendors. This position is perfect for someone with strong organizational and multitasking skills who thrives in a dynamic environment.
Key Responsibilities:
- Assists with daily operations, scheduling, and special projects.
- Greet and assist customers, responding to inquiries via phone, email, and in-person.
- Maintain and update inventory records, ensuring stock levels are accurately reflected.
- Coordinate with suppliers and vendors for order fulfillment and restocking.
- Handle daily administrative tasks, including filing, scheduling, and maintaining records.
- Prepare and manage purchase-related reports, invoices, and payments.
- Assist in scheduling and organizing appointments or deliveries.
- Utilize QuickBooks to manage accounts payable/receivable, process invoices, and generate reports.
- Ensure the departments cleanliness and organization are maintained at all times.
- Support with any additional tasks or projects as needed.
Qualifications:
- High school diploma or equivalent; additional certifications in administration or business preferred.
- Previous experience in an administrative role is a plus.
- Proficiency in QuickBooks and Microsoft Office (Word, Excel, Outlook).
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Ability to multitask and prioritize tasks in a busy environment.
- Strong customer service skills with a friendly and professional attitude.
- Ability to work both independently and as part of a team.
