TITLE: Human Resources Clerk

REPORTS TO: Executive Director of HR and Operations
JOB GOAL: To work collaboratively with Executive Director of HR and Operations, Human Resources Administrative Assistant and Business office to help coordinate matters essential to the effectiveness of the district and to help implement the strategic plan of the district. This position will also serve as liason to the Seaman Education Advantage Foundation (SEAF) including planning for the annual banquet and golf tournament.
PERFORMANCE RESPONSIBILITIES:
- Answer and direct all calls into the Human Resource and Business Departments
- Assist Executive Director of HR and Operations and Administrative Assistant - phone calls, correspondence, calendar, and other duties as assigned
- Assist with establishing and following on-boarding and off-boarding protocols and procedures
- Help maintain files of all licensed and non-licensed staff, help coordinate times and dates for interviews as needed, prepare packets for interview teams
- Cross train on posting requisitions on Applicant Tracking
- Assist with inputting and maintaining information in Applicant Tracking, Perform, Records, and Professional Learning, and eFinance portions of United Administration (Powerschool)
- Back up substitute system for certified staff. Help input new staff in substitute system, input data, and maintain a list of substitutes for all levels
- Schedule new employee orientations and prepare packets of benefits.
- Assist with inventory for the Human Resources department that is done yearly
- Assist with Salary Movement for Certified staff - collect salary movement worksheets, request transcripts and verify through worksheets and college transcripts if staff are eligible to move and what step and column they are moving to
- Back up and assist with contracts – learn how to send out all contracts at the beginning of the contract year, compile list for the Board, and send reminders for contracts that have not been signed in the Records platform
- Student Teachers – notify schools of placement from colleges, verify they are approved and who they will be under, TB/physicals and background checks
- Schedule Interstate Studio yearly for all district pictures and new hires
- Sick Leave Buyback - at the beginning of May print report out of MAPP, send out merged documents to employees through Records platform, deduct days that are bought back, pay individual using additional pay forms for their buyback days
- Back up and cross train on entering in all annual leave for all classified and certified employees and Directors.
- Teacher and Classified employee of the Year Certificates - print and put into frames yearly. Send out to buildings.
- Teacher licensure monitoring. Email monthly starting 6 months in advance of their renewal date reminders to renew.
- Should be adept at spreadsheets, databases, and technology.
- Serve as liason between the district and SEAF.
- Plan and coordinate the SEAF annual banquet and annual golf tournament.
- Other duties as assigned.
TERMS OF EMPLOYMENT: Twelve Month year.
EVALUATION: Performance of this job will be evaluated annually by Executive Director of HR and Operations.
