Job Summary:
Responsible for scheduling all Family Team Conferences (FTCs) in accordance with NYC Administration for Children’s Services (ACS) FTC Model. Communicate with Seamen’s Society program staff and FTC Facilitators to ensure notifications are made timely. Work closely with ACS when scheduling conferences facilitated by them. Oversee the submission of Special/Exceptional rate packages. The Case Aide assists the program by providing concrete support to children and families in the program.
Duties and Responsibilities:
- Communicate with agency and ACS staff verbally and via email as needed to ensure conferences are scheduled
- Schedule all pertinent ACS and agency-facilitated conferences including Trial Discharge, Final Discharge, Goal Change, 90-day, Placement Preservation/Change
- Review scheduler forms for accuracy before sending them to ACS
- Email confirmations to the appropriate staff, and other attendees as needed, for all FTCs and Critical Care conferences
- Prepare and mail letters for all monthly FTCs
- Send notification to the ACS mailbox for all monthly FTCs
- Prepare monthly calendar of scheduled conferences and email to appropriate staff
- Collect all required documents for Special/Exceptional rate packages, submit and track all packages through the database
- Assists the team with maintaining records of documents, filing and archiving case records
Required Skills, Knowledge, and Abilities:
- Computer proficiency, particularly Microsoft Outlook, Word, and Excel.
- Excellent verbal, written, organizational, and interpersonal skills.
- Ability to perform the essential functions of the job with or without a reasonable accommodation.
Qualifications/Requirements:
- Associate/bachelor’s degree preferred. HS diploma/GED required.
- Two years of administrative assistant experience.
- Computer proficiency, particularly in Microsoft Outlook Calendar, Word, and Excel. 2 years (Required)
- Administrative assistant: 2 years (Required)
- Driver license preferred.
- Due to the nature of the work environment work hours will be based on needs of program and may vary.
- Performs other duties/responsibilities as assigned within the scope of position.
- Our Agency operates in 2 locations, Staten Island and Brooklyn. The ability to travel between sites may be necessary.
