Scope of Position
The Sales Administrative Assistant is often the first interaction a guest has with the Seaport Sales department. The administrative support that the Sales Administrative Assistant provides is crucial to ensure exceptional guest service. The goals are to provide guests with professional service exceeding expectations and anticipating Sales Managers needs in an efficient, friendly and attentive manner. The timely and thorough delivery of service will focus on providing the kind of administrative support the Sales Team needs to do business in an effective manner. This support service is critical to the overall Sales Team’s success. This position reports to the individual Sales Managers they will support and the Director of Conference & Catering Operations for overall office direction.
Schedule Requirements
The operations of Seaport are 24 hours a day 7 days a week, inclusive of all holidays. Therefore, the Event Coordinator must be flexible to meet the needs of the business accordingly. At a minimum Monday through Friday daytime work schedule is required. Some overtime and evening work may be necessary and must be pre-approved by management.
Key Responsibilities
Answer all Sales Department’s incoming phone calls
Provide complete and thorough administrative support for assigned Sales Managers
Maintain established office standards for consistency in contracts, proposals, business letters, BEO’s and Resumes
Assist in the delivery of all sales services, details for contracts and events and when applicable and directed confirm availability and pricing
Assume the responsibilities of the office reception area and phone coverage, as well as any shift coverage for other unassigned managers as needed
Clear written and verbal communication to both guests and Seaport team members
This position is expected to embrace the sales department objectives as well as the department Quality Plan initiatives
Represent the hotel with a positive attitude and professional attire
Follow sustainability guidelines and practices related to Seaport’s sustainability programs
Carry out any other duties which fall within the broad spirit, scope, and purpose of this job description and which are commensurate with the role
Responsible for practicing, managing, and promoting our Mission and Values so that it becomes an intricate part of the everyday operation.

Experience:
Knowledge of Delphi and Opera operating systems
1 years of administrative experience
Hotel or Hospitality experience preferred
Education:
High School diploma, general education degree equivalent experience required
College Degree preferred
Language Skills:
Fluency of the English language is required (read, write, speak)
Must be able to listen to, read and/or write instructions, memos, short correspondences and messages.
