Elite Alliance is actively recruiting for a Facility Manager for Seasons at Sandpoint, an Elite Alliance managed property in Sandpoint, Idaho. Seasons at Sandpoint is a private resort-style club tucked magnificently on nine acres of Lake Pend Oreille shoreline.
The Facility Manager is responsible for managing, leading and ensuring efficient day-to-day operations of the maintenance, property watch and housekeeping departments. This includes common areas, interior and exterior public spaces, grounds, storage areas, garages and marina. The position ensures all quality standards, policies and procedures are followed for a safe environment, property, and marina for all owners, guests and employees.
The objectives of this position are to ensure Owner, Guest and Employee satisfaction, continued high standards of the property, operational efficiency and cost controls.
Essential Functions and Responsibilities
- Responsible for overseeing the daily operation of the Maintenance Department including property watch and housekeeping.
- Recruiting, interviewing, hiring and training staff. Selects, supervises, trains, develops, coaches and disciplines team members. Demonstrates positive leadership characteristics that empower and inspire team members to meet and exceed standards. All in accordance with Elite Alliance Hospitality’s policy and procedures.
- Evaluating the staffing requirements and preparing work schedules, adhering to budget goals and meeting daily business needs.
- Assigning tasks to team members using productivity apps and effectively communicating daily business needs with each employee. Following up with daily staff task assignments to ensure timely completion and quality of work product.
- Perform preventive building, public area, marina and equipment maintenance in accordance with established timeframes and guidelines.
- Responsible for repairing and maintaining wall coverings, painting, interior and exterior lights, pools, Jacuzzi’s, and during winter snow removal throughout the property.
- Perform limited plumbing and electrical work. Outsource with approval as needed where licenses are required.
- Inspect and maintain electrical equipment such as compressors, circulation pumps, filters, outlets, and thermostats.
- Maintain an appropriate variety and quantity of maintenance and housekeeping tools and supplies, and ensure they are maintained in good, safe working conditions; conduct monthly inventories according to standard operating procedures.
- Maintain accurate checklists and records of maintenance and repairs as required.
- Ensure property is in compliance with and follows all regulatory code.
- Ensure all safety and fire equipment are inspected, in good condition and are placed in designated areas.
- Oversee maintenance of all golf carts, ATV’s and snow removal machines and ensure safe operations.
- Implement severe weather, storm, fire and first aid procedures – assist with the coordination of activities and training Employees during implementation of these procedures.
- Maintain a full comprehension of all regulations, contractual provisions, property rules, polices and ensure enforcement of them.
- Respond to maintenance requests in a timely manner; complete daily work orders as assigned and communicate status.
- Manage the oversight of contracted services including waste, pest control HVAC, landscaping, fitness center equipment, housekeeping, beach elevators, etc.
- Ensure the cleanliness of all property walkways, public spaces interior and exterior, roadways.
- Ensure the irrigation system is checked periodically (Spring and Fall) and is functional.
- Maintain the marina including opening and closing each year, supervision of seasonal dockhands and all marina operations.
- Ensure security of the property including record parking violations, doors are locked and secured, vehicles are authorized and monitors security camera system.
- Develop rapport with local vendors and businesses in cross utilization of services and amenities.
- Assist with developing and implementing reserve and capital improvements; work with management to update the reserve studies, adjusting useful lives and populating necessary projects for the present year.
- Accounting procedures including weekly labor forecast, inventory procedures, monthly financial forecast, annual budgeting procedures (payroll and other expenses), capital expenditures and month end analysis.
