As a Records Manager you will be responsible for being a key member of the team that drives innovation in order to service our students and staff. In this role, you will report directly to the Dean of Enrollment Services/Registrar. The Program Manager works independently in a multi-tasking environment, analyzes and evaluates incoming transfer of credit, corresponds with instructional departments, corresponds with academic advisors, coordinates to ensure graduation timelines are met, maintains curriculum and academic standards, compiles credential reports and statistical analyses, and facilitates trainings and workshops for faculty, staff and students. This position supervises two Program Specialists and assists with student admissions and enrollment transactions.
This position is governed by a collective bargaining agreement with representation by WFSE.

What you will be working on:
- Supervise daily, weekly and monthly projects within the Credentials and Records department.
- Serve as lead credentials contact for instructional departments and academic advising.
- Maintain North Seattle College's program inventory, and assign 4th character unique identifiers to incoming new degrees and certificates for internal program management.
- Independently evaluate incoming transcripts from other colleges and universities (foreign and domestic), incoming high school transcripts, and military transcripts.
- Manage overall flow of incoming transcripts, evaluation requests, substitutions, and graduation applications.
- Consult with Instructional Deans/Divisions/Faculty Coordinators and academic advisors regarding college policy. Specifically, about changes in curriculum, academic exception requests, applications for Prior Learning, etc.
- Determine course equivalencies using research, analyses and independent critical thinking and decision-making skills.
- Research, interpret, and develop processes and procedures relating to receiving and evaluating incoming transcripts, graduation processing, and other credentials related practices.
- Provide counsel to the Dean of Enrollment Services about program changes and modifications relating to managing incoming credit, incoming transcripts, and graduation.
- Update website and staff on changes in Prior Learning Credit and AP/IB Scores.
- Create/Maintain programming of degree completion software for current and new programs.
- Respond to student inquiries relating to transfer of credit, course equivalencies, academic planning, and graduation
- Attend division meetings, as representative for the Dean of Enrollment Services, with faculty coordinators, program managers, and instructional and student services administrators to discuss curriculum guidelines and credentials processes.
- Hire and train new employees as well as making personnel decisions and recommendations to the Dean of Enrollment Services.
- Evaluate final degree requirements on receipt of student applications for graduation.
- Track changes to academic distribution and areas of knowledge for degrees and certificates, in compliance with state and federal regulations.
- Build and update pre-requisite system within current system and PeopleSoft
- Analyze Degree Completion data as it pertains to commencement data reports.
- Attend Curriculum and Academic Standards (CAS) meetings to represent the Dean of Enrollment Services to assess incoming degree, certificates, and courses.
- Research and analyze degree requirements and industry regulations.
- Provide necessary Credentials related reports and statistical analyses to the Dean of Enrollment Services/Registrar, and college administration.
- Consult with the BAS (Bachelor of Applied Science) Managers on program changes, updating them on credentials policies and procedures.
- Maintain databases, process charts, internal and public forms, and written procedures in print and digital formats.

- Bachelor's degree and a minimum of two years of experience working in a college setting.
- Ability to accurately perform multiple tasks in a timely manner.
- Demonstrated knowledge of Student Management System (SMS) or other student management database, including the use of Microsoft Word and Excel.
- Demonstrated ability to research and investigate academic issues that relate to graduation, credit evaluation, admissions, and registration.
- Evidence of ability to interpret detailed information, trouble-shoot academic and systems issues.
- Evidence of ability to work collaboratively with unit team members and all areas of the college.
- Demonstrated ability and experience working with persons from diverse ethnic, economic and academic backgrounds.
- Ability to work independently in a fast-paced work environment.
- Excellent student-centered customer service, interpersonal skills, organizational skills and attention to detail.
Physical Requirements:
Ability to perform range of physical motions, exerting up to 25 pounds; lifting and carrying up to 25 pounds; standing, walking, sitting for long periods of time, kneeling, squatting, and stooping; and traversing up and down stairs.
