Position Summary:

The Associate Registrar/Academic Affairs Coordinator is a full-time staff member who reports to and is under the supervision of the Director of the Seattle Film Institute. The Associate Registrar/Academic Affairs Coordinator performs a variety of tasks related to student and faculty scheduling; maintaining SFI’s s proprietary Student Information System (SIS) and overseeing SFI’s Learning Management System (LMS) which operates on the Moodle platform. The Associate Registrar/Academic Affairs Coordinator assists with coordinating the production of the Institute’s schedule of classes and the Institute catalog; implementing curriculum and scheduling processes, maintaining databases (SIS); overseeing the LMS; and preparing and submitting academic affairs reporting requirements. The Associate Registrar/Academic Affairs Coordinator audits transcripts for incoming students; produces transcripts and quarterly grade reports; monitors and creates reports for Student Academic Progress (SAP). The Associate Registrar/Academic Affairs Coordinator also works directly with students to support program completion and student success.

Duties and Responsibilities:

  • Oversee the Institute’s LMS system; maintain course shells on a quarterly basis and assist instructors with support and troubleshooting
  • Coordinate production of the class schedule; monitor schedule development progress and deadlines to ensure timely production and publication of class schedule
  • Coordinate and assist in developing and maintaining student schedules
  • Maintain a variety of electronic files and databases for the purpose of providing up-to-date information and historical reference across academic programs
  • Track and monitor student engagement and Satisfactory Academic Progress with the goal of working collaboratively with a team approach to student success
  • Work directly with students to support program completion
  • Supervise the collection of student evaluations of instructors and prepare summary reports of the data
  • Audit Transcripts of incoming students
  • Compile data and metrics for the purpose of processing requests and preparing reports
  • Works as part of a team with on-boarding, orientation, and contracting process which assures that adjunct faculty are adequately trained and prepared for their first quarter at Seattle Film Institute
  • Assist in the preparation of the Institute catalog
  • Maintain faculty files with requisite documents
  • Manage the Institute booklist
  • Assist with data collection and analysis, report writing and planning for institutional accreditation.
  • Works as part of SFI's Student Success Team
  • Other duties as assigned

Position Qualifications:

  • Knowledge of and experience with higher education systems.
  • Tech-savvy with proficiency in MS Office (particularly Excel) and a familiarity with databases and learning management systems
  • Familiarity with educational delivery systems, including online education
  • Excellent verbal/written communication skills, interpersonal skills, and analytical skills
  • Commitment to collaborative teamwork
  • Ability to work under pressure and to multitask with precision and accuracy to deadlines having a short duration.
  • Flexibility as a self-starter who takes initiative and accountability for projects; sound judgment, and the ability to make independent decisions with little supervision.
  • Openness and interest in engaging with new technologies and proficiency with commonly-used software.
  • Highly organized and shows exceptional attention to detail

Minimum Education:

Bachelor’s degree in a related field; Graduate Degree a plus

Minimum Experience:

Any combination of education and experience which would indicate possession of the required knowledge, skills and abilities to perform the duties listed above.

Compensation and Schedule

  • $45,500.00-$55,000.00 per year
  • 40 Hours per week; In-person or hybrid
