The Seattle Police Department is seeking to fill an Administrative Staff Assistant position for Employee Support Services (ESS) to provide a full range of administrative support. ESS is SPD’s internal employee wellness program.

Requires one year of experience in administrative analysis, budget administration or preparation, office management, personnel administration, program administration, as staff assistant, or in a closely related field; and a Bachelor's Degree in business, public administration, or another closely related field (or a combination of education and/or training and/or experience that provides an equivalent background required to perform the work of the class).

The full salary range for this position is $40.00 - $46.63 per hour.
New employees begin at Step 1 of the pay progression, which is $40.00 hourly. Current City employees’ starting rate of pay will be based on Personnel Rules regarding promotions. This is a full-time (1.0 FTE) regular position with full benefits. This is a Civil Service position eligible for overtime.

Job Responsibilities
- Serve as the administrative assistant to the Executive Director of Employee Support Services and the unit as a whole.
- Complete administrative tasks to support the operations of the unit, including calendar management, collecting and assembling data and reports, and managing contracts, invoices, reports, forms, and charts.
- Liaise with departmental personnel, other city department personnel, community members, business owners and general public to support ESS’s operations.
- Responsible and accountable for collecting high-level, confidential data, reports, and correspondence.
- Responsible for providing reports and statistics including analyzing unit statistics and monitoring ongoing projects to ensure accurate numbers are reported in weekly/quarterly/yearly statistic requests and reports.
- Compose and prepare responses to correspondence, complaints, and requests based upon general instructions and knowledge of subject areas for high level staff. Provide editing, formatting, and proofreading services while preparing finished copy.
- Prepare purchase requests, ensure consistent purchase coding, and ensure invoices are properly routed and approved within the department’s system.
- Establish and maintain electronic and paper files, logs, and record-keeping systems following records retention guidelines.
- Responsible for maintaining integrity, accuracy, and history of unit’s sensitive information such as emergency rosters, correspondence log, special event plans, and monthly statistics.
- Collect and distribute Employee Support Services mail, including driving an SPD vehicle to pick-up/drop-off from the centralized SPD HQ or other SPD buildings on a regular basis.
- Research and provide recommendations to employees in ESS regarding departmental policies, office procedures and general knowledge.
- Work on special projects and other ad hoc duties as assigned.

- Experience working with highly confidential information.
- Must be team-oriented and possess a positive work ethic.
- Ability to exercise good judgment, organize workload, problem solve, and provide good customer service.
- Must pass a Seattle Police Department background investigation.
- Must have a valid Driver’s license.
- This position is an onsite position; the employee is expected to perform work in person. No remote work option is available for this position. Individual schedules will be based on agreement between the employee and their supervisor.
