Position Description
The Senior Program Administrative Assistant provides administrative support for the students, faculty, and the program directors of the College of Education. The position reports directly to the Associate Dean in the College of Education. The ability to work in a hybrid (on-campus and remotely) is possible.

Compensation at a Glance
Salary Range: $23.00 - $25.00 per hour
Seattle University has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, and not based on a candidate's gender or any other protected status.

Position Description
The Senior Program Administrative Assistant provides administrative support for the students, faculty, and the program directors of the College of Education. The position reports directly to the Associate Dean in the College of Education. The ability to work in a hybrid (on-campus and remotely) is possible.
Essential Job Functions
- Greet visitors/answer telephones or electronic messages.
- Provide general advising to students regarding program requirements, updates and deadlines.
- Plan and coordinate logistical matters for department and/or program's sponsored events and activities.
- Track and monitor assigned budgets and execute purchase orders when necessary.
- Support the design, production, and distribution of department/program materials.
- Work with faculty and other staff to support the implementation of assessment and accreditation mandates.
- Compile data to prepare statistical reports.
- Maintain appropriate databases, listservs, and websites.
- Maintain electronic student files.
- Oversee the admissions process for program applicants, including extrapolating admissions data, preparing folios, tracking data, and scheduling interviews.
- Implement CRM system to manage program applicants.
- Process and support faculty review of application materials and admission procedures.
- Maintain schedule of room reservations for classes and meetings.
- Process honorariums for mentor teachers.
- Track teacher candidates progress towards certification requirements, including maintaining student files of transcripts, endorsement verification forms, exam scores, for COE Certification Officer to provide to OSPI for teacher certification.
- Support program and department meetings.
- Continuously monitor program operations and suggest and implement process and program improvements as needed.
- Maintain current database of alumni; promote engagement with alumni through job postings, events, professional development opportunities, admissions interviews, and clinical placement opportunities.
- Process requests to hire adjunct faculty.
- High School diploma or equivalent (GED) plus two or more years of progressively responsible administrative office support experience OR an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job.
- Knowledge of procedures such as purchasing, budgeting and record keeping, the ability to prepare, edit and produce grammatically correct reports and correspondence and the ability to orally communicate effectively with others on the telephone and in person.
- Must also possess excellent customer service skills, the ability to organize and prioritize and to perform multiple tasks concurrently. Basic numerical skills are required.
- The candidate must be proficient with Microsoft Office products.
