Position Overview
SeaView Community Services is seeking a dedicated and detail-oriented professional to join our team as an ASAP Coordinator/Medical Records Clerk. This dual-role position is integral to supporting our ASAP (Alcohol Safety Action Program) while also ensuring efficient management of medical records. The ideal candidate is highly organized, comfortable working with the courts and legal system, and capable of handling confidential medical records with professionalism and accuracy.
Key Responsibilities
ASAP Coordinator
- Screen, refer, and monitor court-referred clients for substance use services.
- Manage record-keeping systems and track monthly and annual statistics.
- Monitor clients’ compliance with court-ordered treatment and provide case management as needed.
- Appear in court as necessary to provide testimony regarding a defendant’s compliance or non-compliance.
- Establish and maintain professional relationships with courts, police departments, probation offices, and treatment agencies.
Medical Records Clerk
- Sort and file paper and electronic client medical records, correspondence, billing forms, and other documents.
- Maintain an organized and secure record-keeping system in compliance with legal and confidentiality requirements.
- Process medical records requests in accordance with agency policies and HIPAA regulations.
- Search for, investigate, and retrieve information contained in files, ensuring accuracy and completeness.
- Shred obsolete files as required by legal and agency guidelines.
- Provide backup reception coverage daily from 1 PM – 5 PM, assisting clients, answering phones, and handling inquiries.
Qualifications & Skills
- High school diploma or equivalent (Associate’s degree in a related field preferred).
- Experience in case management, criminal justice, or substance use treatment is a plus.
- Knowledge of medical records management, confidentiality regulations, and data entry procedures.
- Strong organizational and time management skills with attention to detail.
- Ability to work independently and collaboratively with multiple agencies.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and database management.
- Excellent written and verbal communication skills.
- Comfortable appearing in court settings when necessary.
- Ability to handle sensitive and confidential information professionally.
