ADMINISTRATIVE ASSISTANT
Duties and Responsibilities
- Coordinate the daily calendar of the President. Ensure he has all necessary paperwork for meetings and appointments.
- Plan, coordinate, and ensure the President's schedule is followed and respected. Provide "gatekeeper" role for access to his time.
- Work closely with the President to keep him informed of upcoming commitments and responsibilities.
- Schedule and organize meetings, appointments, and travel arrangements. Send agendas before meetings.
- Oversee incoming email and telephone calls and distribute as required.
- Prepare and modify/proofread documents including email correspondence, reports, and letters.
- Log documents into filing system for easy access and retrieval.
- Maintain open item list for the President and follow up to ensure items are closed in a timely fashion.
- Record, transcribe, and distribute meeting minutes.
- Perform other duties as assigned.
Minimum Position Requirements
- Previous Administrative Assistant experience
- Ability to work with highly sensitive information
- Ability to multi-task and handle multiple responsibilities at the same time
- Excellent organizational skills with high attention to detail
- Proficient with Microsoft Office and Outlook
- Outstanding written and verbal skills
- Ability to move freely around the plant as needed
