Job Summary
We are looking for an experienced Vendor Support Specialist to deliver high performing overall process coordination for selection of service providers including utility management, lawncare, filters for home maintenance and snow removal. The successful candidate will be expected to collaborate and share information within and across departments and supports various working groups. The role will also be responsible for building mutually beneficial relationships with strategic providers to ensure smooth deployment of resources and services that demonstrate value and consistency to Second Avenue, our residents, and clients.
Role Responsibilities:
- Manage activation and disconnect of services such as utilities, lawncare, snow removal, filter delivery, smart home notifications and other vendor support services in our markets across the country.
- Review, research and collaborate with accounting to resolve resident utility billing disputes ensure client accounts remain current and services remain in effect.
- Use both proprietary and vendor-based system access to research, document and resolve issues.
- Assist in resolution of vendor issues such as missed appointments, late activations or resident disconnects.
- Monitoring the performance of service providers such as contractors or utility companies to ensure that services are being delivered satisfactorily.
- Review operational metrics such as energy usage and activation time to ensure compliance with industry standards.
- Collaborate with RTM department to arrange necessary checks of services, inspections, or repairs.
- Ensure that follow-up, emails, and other correspondences are completed in a timely manner.
- Support and maintain team metrics given by supervisor/manager.
- Answer incoming calls from residents, team members and vendors, and direct the flow of information to the proper department within Second Avenue.
- Optimize day to day workload with time management and prioritization of goals.
- Develops and fosters successful, long-term business relationships and ongoing process improvements with vendors via solid communications and appropriate escalation and follow-up.
- Help identify opportunities for operational and process improvement.
- Perform other duties as assigned.
Candidate Qualifications:
- High School Diploma
- Associate degree or equivalent experience in Project/Vendor Management preferred.
Role Specific Skill Set
- Requires two years of clerical and/or customer related work experience.
- Must be able to organize, prioritize, and use time management tools.
- Ability to demonstrate basic mathematical aptitude.
- Must have excellent problem-solving abilities.
- Must be a team player, dependable and have a sense of ownership.
- Ability to use a computer proficiently, including Microsoft Outlook, Word, Excel, and property operating/accounting software.
- Ability to defuse contentious situations.
- Experience delivering effective partner relationships with customers and/or other partner groups.
- Ability to produce, analyze and interpret complex information and present this information in a simplified and focused manner.
- Strong verbal and written communication skills.
- Ability to be flexible and quickly adapt to changing business needs and processes.
- Ability to exercise independent judgment and maintain confidentiality.

- Reliably accessible via phone and/or email, except during approved time off.
- Ability to work weekends and non-traditional holidays, as needed.
- Ability to compare, copy, compute, compile, analyze, coordinate, negotiate, communicate, and instruct.
- Ability to tolerate stressful situations and manage same effectively to resolution.
- Ability to work under minimal supervision.
