JOB TITLE: Volunteer Experience Coordinator

REPORTS TO: Volunteer Experience Manager & Executive Assistant

SUPERVISES: N/A

FLSA STATUS: Non-Exempt/Part-Time

DATE: March 2025

MISSION FOCUS: The Volunteer Experience Coordinator is essential in ensuring the success of our food bank operations by fostering a strong volunteer network and providing excellent service to all our guests. This role supports the organization’s mission by serving as the primary point of contact for volunteer-related activities and stepping in to assist guest services as needed, ensuring a seamless and welcoming experience for all.

PRIMARY RESPONSIBILITIES:

Ÿ Build relationships with volunteers, serving as the primary source of volunteer programs related assistance to them prior to, during and after their volunteer experience with Second Harvest.

Ÿ Greet volunteers and visitors at the front desk and assist with the check-in process including but not limited to:

o Assist with sign up to make sure all are registered and checked in/out.

o Providing a brief orientation to volunteer groups and new individual volunteers including a description of the mission of SHFB, the importance of volunteerism to that mission and a full facility tour when necessary or requested.

o Introduction of volunteers to their workstation leader who will conduct work-specific training.

o Regularly check on volunteers during their shifts and breaks to answer any questions, provide support and ensure a positive experience.

Ÿ Use a high-energy, enthusiastic approach to create an engaging, welcoming environment.

Ÿ Foster internal relationships to enhance volunteer opportunities across the organization.

Ÿ Collaborate and support team members who work with volunteers to help create an optimal volunteer experience, including identifying challenges and opportunities to be addressed by the leadership of the volunteer service team.

Ÿ Serve as representative of the Volunteer Services team for occasional evening and weekend volunteer events when needed.

Ÿ Represent Volunteer Services team and Second Harvest at speaking engagements as appropriate.

Ÿ Maintain a working knowledge of volunteers in every major area of volunteer opportunity throughout the food bank.

Ÿ Replenish snacks and water for volunteers in the Commons area and manage inventory following FIFO.

Ÿ Assist the Volunteer Services Team with planning and executing a Volunteer Appreciation Week, a Volunteer Appreciation Event, and other events as required.

Assist the Volunteer Services Team in defining and reaching volunteer goals for the organization.

Supports promoting and recruiting for our volunteer programs within the community.

Ÿ Assist in recording volunteer records in database and creating reports and letters from those records.

Ÿ Manage and resolve concerns regarding volunteers. Works with appropriate team members on volunteer issues.

Ÿ Other duties as assigned by staff leads in the areas of Volunteer Services and Guest Services.

Ÿ Ensure all guests have a positive experience by providing exemplary service and a professional first impression.

Ÿ Serve as an operator of our high-volume multi-line phone system, answering questions or transferring calls to appropriate staff members and maintaining voice mail.

Ÿ Greet and direct guests and vendors to staff, resources, and the facility.

Ÿ Provide receipts for donations and payments received at the front desk

Ÿ Maintain hard copy and electronic filing system

Ÿ Provide dignifying assistance to neighbors seeking food resources.

· Provide back-up support when needed to open and distribute mail and faxes.

· Provide back-up support when needed to accurately ledger all donations (including cash, checks, direct deposits, hybrids, etc.), agency charges (including checks and credit card payments), and other payments. Deposit all checks electronically, count and prepare deposit slip for cash

KNOWLEDGE AND SKILLS REQUIREMENTS:

Ÿ Must embrace the mission and vision of Second Harvest Food Bank.

Ÿ High School Diploma or equivalent work experience required.

Ÿ Minimum of two years of applicable work experience preferred.

Ÿ Aptitude and desire to participate in public relations and speaking activities.

Ÿ Must have ability to work well under pressure and meet deadlines in a fast paced environment.

Ÿ Ability to communicate professionally, both verbally and in writing. Ability to speak Spanish is a plus but not required.

Ÿ Proficiency in Microsoft Word, Excel and Outlook or the ability to learn and master skill level necessary to perform job well quickly.

Ÿ Experience maintaining database software or the ability to learn and master skill level necessary to perform job well quickly.

Ÿ Strong customer service skills, with a desire to provide dignifying support and effective solutions.

Ÿ Ability to speak to, direct, maintain order, and problem solve with large groups confidently.

Ÿ Exhibit excellent teamwork, interpersonal and relationship-building\maintenance skills.

Ÿ Exhibit a high level of energy to engage, motivate, and reflect appreciation of volunteers.

Ÿ Ability to work independently, multi-task and shift priorities as needed.

Ÿ Must be detail and task oriented and dedicated to the completion of assigned duties in a timely manner or when required.

Ÿ Ability to focus and complete work in an open, sometimes loud and crowded work environment.

Ÿ A passion for working with volunteers and ability to inspire volunteer engagement, development and retention.

Ÿ Ability to comprehend financial documentation, and calculate and record financial information accurately, or the ability to learn and master skill level necessary to perform job well quickly.

PHYSICAL REQUIREMENTS:

Ÿ Extensive use of telephone and computer.

Ÿ Ability to communicate well both verbally and in writing.

Ÿ Ability to lift up to 25 lbs. without assistance.

Ÿ Ability to sit at a computer or stand for long periods of time.

Ÿ Ability to walk and talk simultaneously, sometimes backwards.

Ÿ Provide own transportation to and from off-site events.
