Job Summary
Second Helpings is a nonprofit food rescue organization striving to eliminate hunger in the South Carolina Lowcountry. We collect and distribute food which would have otherwise ended up in landfills. Our 468 volunteers delivered 3.3 million pounds of food in 2024, free of charge, to 54 agencies in Beaufort, Jasper, and Hampton counties which serve more than 12,500 people every week.
We are seeking a Fleet Coordinator, who will be focused on keeping Second Helpings’ fleet of 10 refrigerated box trucks and a van running consistently, safely, and cost-effectively. The position reports to the Executive Director and works closely with the volunteer Truck Committee.
Maintain Fleet Equipment:
- Set a preventative maintenance schedule. Track the completion and cost of these maintenance tasks by external vendors.
- Conduct monthly mechanical inspections of all vehicles.
- Inspect and evaluate all mechanical complaints; address as appropriate with external vendors or in-house solutions.
- Liaise with repair facilities, maintaining favorable relationships and evaluating capabilities. Seek and identify potential new repair facilities.
- Arrange for periodic truck cleaning with a power-washing team.
- Complete minor repairs that are within Second Helpings capabilities.
- Maintain and monitor on-board tracking devices. Bring safety issues to the Executive Director for resolution.
- Track mileage, maintenance and repairs, and other operating costs by vehicle. Recommend a replacement schedule, based on safety and total cost of ownership.
Resolve Accident and Damage Claims:
- Receive and review reports of damage to trucks and third-party vehicles. Contact third parties to address damage as needed; inspect truck damage; work with insurance provider and third-party mechanics to address damage.
- Conduct accident reviews with involved volunteers. Identify lessons learned from these events and share them with volunteers and staff.
- Manage the purchase of new equipment and the disposition of retired equipment.
Manage Vehicle Relocation:
- Reposition trucks among our three bases to balance truck usage, avoid route interruptions due to unavailable or non-functioning trucks, and to avoid weather damage.
- Maintain a group of volunteer drivers to assist.
Other Responsibilities:
- Ensure compliance with government (DOT) regulations; follow SC Transportation Association publications and become familiar with FMCSA Safety Regulations.
- Act as a short notice substitute driver on any route and fill in for the area coordinators when needed.
- Cross-train with the two area coordinators; substitute for either of them as needed due to vacations or extended absences.
Qualifications
The Fleet Coordinator will reside in or near Beaufort County, SC and be thoroughly committed to Second Helpings’ mission to serve the needy in our community. The successful applicant will:
- Have a good understanding of truck mechanics and preventative maintenance strategies.
- Be proficient in using spreadsheet tools to track maintenance and repair costs, analyzing each vehicle’s total cost of ownership, and making proactive recommendations for vehicle replacement.
- Possess excellent organization and communication skills and a pleasant, courteous and professional manner.
- Have exceptional accuracy and attention to detail.
Experience working in a not-for-profit environment is preferred.
