SecondHalf Coach Wealth Management is a financial planning firm seeking a friendly and professional administrative assistant to co-manage the front reception desk and assist in service related tasks. This full-time position requires a variety of routine and complex clerical and administrative work. Tasks include greeting clients, answering multiline phone system, managing CRM data, filing paperwork, coordinating daily incoming/outgoing correspondence, and any other general service support to help the office run efficiently. Proficient in Microsoft Office Products (Word, Excel, Outlook) and computer usage (familiarity with Apple products preferred). Previous customer service experience and familiarity with CRM (Customer Relationship Manager) programs are a plus. Exceptional communication skills are necessary. This position is ideal for someone who is motivated, able to prioritize work assignments as they come in, and capable of working without supervision. This position also requires being in office Monday through Friday because of client interaction.
Responsibilities to include:
· Greeting Clients
· Answering the phone, taking messages and directing calls
· Monitoring and forwarding incoming correspondence
· CRM maintenance and data entry
· Assisting our service team with client needs
· Preparing and distributing general mailings
· Preparing for client meetings in coordination with our Wealth Management Team
· Assisting with other duties not listed as they come up
Hours: Monday – Friday 9:00 a.m. – 5:00 p.m. with occasional evening for events
