Summary
The Schedule and Job Review Coordinator plays a key role in managing and optimizing technician schedules for services and installations. This position ensures efficient scheduling that meets customer needs while maximizing productivity. Collaborating with Outside Sales, Inside Sales, Customer Service, Operations, and Production teams, the Coordinator works to maintain alignment and achieve performance targets.
Focused on meeting budgetary goals, the Coordinator optimizes schedules to reduce technician travel time and ensures production capacity meets demand. They oversee job completion by coordinating with the Production and Delivery departments and working with the Sales team to resolve work order issues promptly. This role also partners with IT to improve scheduling and order creation technology.
The Coordinator manages logistics for jobs involving subcontractors, homeowners, or other stakeholders, ensuring sites are prepared. They maintain strong relationships with residential and commercial partners while addressing site issues, travel concerns, and emergency calls. Their proactive approach ensures customer needs are met efficiently and effectively.
Responsibilities
- Provide excellent customers service through customer contact via phone and email
- Contact customers in a timely manner and communicate schedule availability, changes, issues or follow-up
- Develop and maintain the ServMan schedule for all installation and service jobs for both commercial and residential
- Optimize the schedule for the most efficient travel
- Review work orders for site readiness – communicate with customers as necessary
- Coordination with subcontractors as necessary for the job’s success – both commercially and residentially
- Review Work Orders to ensure proper skill sets are met for technicians
- Work with team members to resolve issues in a timely manner
- Review Work Orders for major issues or missing information for job success
- Work with department managers to develop efficiencies or trainings needed for job success
- Meeting and exceeding budget goals for scheduled work
- Finding resolutions to scheduling issues due to customer’s needs, call outs, and reschedules
Qualifications
- Proven experience in clerical or administrative roles, preferably in a service-oriented environment.
- Strong organizational skills with the ability to manage multiple schedules efficiently.
- Excellent communication skills, both verbal and written, for effective customer interaction.
- Familiarity with office management software or scheduling tools is preferred.
- Participate in on-call rotation
- Valid Drivers License
