SALARY:
$4,536 - $6,701/per month Non-PERS Rate
$4,809 - $7,103/per month PERS Rate
Plus, this position is eligible for an additional 5% Bilingual Differential upon successful completion of required language testing.
WHAT YOU WILL DO:
In this role you will provide office assistance and support to the Executive Office of the Secretary of State.
This is accomplished in part by, but not limited to:
- Performing general administrative tasks related to the Executive Team's interaction with the public, stakeholders, other government agencies, etc.
- Arranging, organizing and coordinating team calendars by scheduling appointments, meetings, and events for Executive team members.
- Managing correspondence from the public utilizing a variety of communication methods.
- Working in collaboration with the Digital Strategist to draft content for the official agency social media channels.
- Drafting various documents including talking points, interview memos, and meeting briefs in collaboration with the Deputy Chief of Staff - Communications, and sending to Executive team members or Secretary for review and approval.
- Performing reception duties for the Executive Office of the Secretary of State.
Other duties include research and special projects.
This position is located on the Executive team of the Secretary of State's office and serves at the pleasure of the Secretary.

Your application must demonstrate education and/or experience in the following:
Three years of experience performing public contact and/or customer service duties comparable to the work of a Public Service Representative.
At least two years of this experience must include dealing with the public in-person or by phone providing information about services and programs; explaining rules, programs, and procedures; and/or providing assistance, explaining requirements, and gaining compliance.
As the most competitive candidate, your application will demonstrate the following requested skills and experience:
- Excellent written and verbal communication skills – ability to communicate clearly and concisely to engage with a wide and diverse audience.
- Organizational skills – ability to plan work and follow up on task assignments while meeting overlapping deadlines in a fast-paced, politically sensitive environment.
- Experience arranging, organizing and coordinating team calendars by scheduling appointments, meetings, and events.
- Professional level writing experience which includes drafting a variety of communications using word processing software, proof reading, and strong typing skill.
- Skilled in using a personal computer and the Microsoft 365 suite for enterprise (e.g., PowerPoint, Excel, Word, Outlook, Teams, etc.) and ancillary office productivity software.
- Ability to organize and present research findings and information clearly and concisely in verbal and written form.
- Dedication to exemplary customer support and public service.
Preference may be awarded to candidates that are bilingual in Spanish and English, and/or have multilingual skills. You must be able to pass language proficiency testing; both verbally and in writing.
