Position Overview The Client Services Specialist (CSS) is a client-facing professional responsible for new business processing, ongoing client service, and direct communication with clients via phone, email, and in-person interactions.
This role is vital in ensuring every client receives timely, professional support with their accounts, paperwork, and financial needs.

Key Responsibilities
Client Service & Communication
- Serve as the primary contact for client inquiries, ensuring prompt, professional, and friendly responses.
- Deliver a high-touch client experience, proactively addressing client needs and resolving issues.
- Build strong client relationships through consistent follow-up and personalized attention.
New Business & Account Management
- Process new account applications, transfers, and rollovers accurately and efficiently.
- Track and manage all paperwork and account setups, keeping clients and advisors informed.
- Liaise with custodians, insurance carriers, and financial institutions to ensure smooth transactions and account servicing.
Operational & Administrative Support
- Maintain accurate client records and service requests within the firm's CRM system.
- Assist advisors with preparing client meeting materials, reports, and follow-up actions.
- Coordinate appointment scheduling, confirmations, and follow-ups to keep clients engaged.
Compliance & Documentation
- Ensure all client documentation meets regulatory and compliance standards.
- Adhere to firm policies and confidentiality requirements when handling client information.
Qualifications & Experience
Required:
- 1-5 years of experience in financial services, banking, insurance, or related fields (client service, administrative, or operations roles).
- Strong customer service and communication skills.
- Detail-oriented with excellent organizational and multitasking abilities.
- Experience with financial paperwork and application processing.
- Proficiency in Microsoft Office and CRM systems.
Preferred:
- Experience with managed money accounts and fixed-indexed annuities is a plus.
- Familiarity with IRA rollovers, annuity transfers, and investment account servicing.
- Prior experience with RIAs or financial advisory firms.
