The following is the basic job description for the Procurement Manager position current as of the date noted above. Any alterations, substitutions, or additions must be approved in writing by the following people: Human Resource Manager and Director of Operations. This position reports directly to the Director of Operations.

High-Level Objectives:
- Build and maintain strong relationships with vendors to ensure reliable products and services.
- Develop procurement strategies to optimize cost, quality, and delivery performance.
- Oversee the procurement process, ensuring compliance, efficiency, and alignment with business goals.
Job Summary:
The Procurement Manager is responsible for leading the procurement function, including sourcing, negotiating, and managing supplier relationships. This role ensures the organization secures high-quality products and services at the best possible value while maintaining strong vendor partnerships and supporting the company’s operational needs.
Essential Functions:

Strategic Sourcing:
- Develop and implement procurement strategies aligned with organizational objectives.
- Identify and evaluate potential vendors to diversify and strengthen the supply base.

Vendor Management:
- Establish and maintain relationships with key vendors, ensuring adherence to service level agreements (SLAs) and quality standards.
- Conduct vendor evaluations and negotiate contracts to secure favorable terms.
- Oversee the onboarding process for new vendors, ensuring they meet company standards and requirements.

Cost Optimization:
- Identify and execute cost-saving opportunities through strategic sourcing, volume discounts, and vendor negotiations.
- Monitor procurement budgets and ensure cost control.

Data Analysis and Reporting:
- Analyze procurement data to identify trends, inefficiencies, and areas for improvement.
- Provide regular reports on procurement KPIs, such as cost savings, vendor performance, and procurement lead times.

Risk Mitigation / Quality Issue Resolution:
- Identify and mitigate supply chain risks, including supplier disruptions and market fluctuations.
- Address and resolve quality issues with vendors, implementing corrective actions and continuous improvement initiatives.
- Develop contingency plans to ensure continuity of supply.

Vendor Promotions:
- Support the vendor promotions and ensure alignment with company sales and marketing strategies.

Rebate Management:
- Manage vendor rebate programs, ensuring accurate tracking, reporting, and collection of rebates.

S&OP Team Member:
- Act as a key member of the Sales and Operations Planning (S&OP) team, collaborating with cross-functional teams to align supply chain plans with business goals.
Ideal Candidate Profile:
- Education: Bachelor’s degree in Supply Chain Management, Business Administration, or related field. A Master’s degree is preferred.
- Work Experience: 5–7 years in procurement, sourcing, or vendor management roles.
- Companies Worked For: Distribution, manufacturing, or retail companies with a large volume of vendors and items.
- Trainings & Certifications: Certified Professional in Supply Management (CPSM) or Certified Purchasing Professional (CPP).

Metrics for Success: The success of the Procurement Manager is measured by utilizing the following key metrics which will indirectly increase the performance of sales.
- Supplier Lead Time: Achieve and maintain optimal supplier lead times to ensure timely procurement and delivery of materials.
- Compliance to Agreement: Ensure vendors adhere to contractual agreements, achieving a compliance rate of 95% or higher.
- Quality Defect Rate: Maintain a quality defect rate of less than 1%, ensuring vendor-provided materials meet company standards.
- On-Time Delivery: Achieve and maintain a vendor on-time delivery rate of 95% or higher.
