Responsibilities
Reception Duties:
- Greet and welcome visitors in a friendly and professional manner.
- Answer and direct incoming phone calls, taking accurate messages and transferring calls as needed.
- Manage the reception area, ensuring it is clean, organized, and presentable.
- Receive and distribute mail and deliveries.
- Issue visitor badges and maintain visitor logs.
- Provide administrative support to various departments, including data entry, filing, and photocopying.
- Schedule appointments and maintain calendars.
- Prepare and distribute correspondence, memos, and forms.
- Maintain and update company databases and records.
- Assist with the input of security reports, and other security related documentation.
- Monitor security cameras and access control systems.
- Assist with security-related inquiries and procedures.
- Maintain accurate records of visitor access, and any security related incidents.
- Maintain a high level of confidentiality regarding security matters.
- Provide accurate information to clients and visitors.
- Address and resolve customer inquiries and complaints in a timely and professional manner.
- Maintain a positive and professional attitude at all times.
- High school diploma or equivalent.
- Proven experience as a receptionist or in a customer service role.
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to work independently and as part of a team.
