Position Overview:
The Executive Assistant will be responsible for managing executive calendars, coordinating meetings, handling communications, tracking key deliverables, and ensuring smooth day-to-day operations. This role is essential in supporting leadership and enabling the executive team to focus on high-impact priorities.
Key Responsibilities:
- Prepare a daily morning report outlining priority emails, calendar agenda, and scheduling conflicts with recommended solutions.
- Manage executive calendars by resolving conflicts, rescheduling meetings, and confirming appointments at least 24 hours in advance.
- Schedule meetings with clients and internal team members as requested.
- Organize and facilitate 1-on-1 meetings with direct reports, ensuring pre-meeting forms are completed and summaries are provided.
- Verify that weekly metric reports are submitted on time by direct reports.
- Ensure payroll approvals are completed by all departments by the deadline.
- Update and maintain client information in Salesforce, including activity logging and workflow adjustments.
- Monitor and manage the executive’s email inbox, responding to inquiries, organizing priorities, and working towards a zero unread inbox.
- Follow up on deliverables from meetings, tasks in Salesforce, and email communications to ensure timely completion.
- Take and distribute meeting notes with post-meeting summaries.
- Answer company phone calls and direct inquiries as needed.
- Provide light assistance to other departments on an as-needed basis when time allows.
- Assist with strategic initiatives when time allows.
What We’re Looking For:
- Highly organized and detail-oriented with excellent time management skills.
- Strong problem-solving skills and the ability to proactively resolve scheduling conflicts.
- Excellent communication skills, both written and verbal.
- Tech-savvy with experience in Google Workspace, Microsoft Office, and CRM tools (Salesforce preferred).
- Ability to handle sensitive information with discretion and professionalism.
- Self-motivated and able to work independently while supporting a dynamic executive team.
Preferred Qualifications:
- Previous experience as an Executive Assistant, Administrative Assistant, or similar role.
- Experience working in a fast-paced environment with high-level executives.
- Familiarity with project management tools and business process automation.
