HOA Manager

Job Summary:
The HOA Front Office Manager oversees daily operations, financial management, and homeowner relations for a 400 home gated community located in Eastern Collin County. This role ensures compliance with association rules, coordinates service providers, and supports the Board of Directors with meetings, communications, and financial reporting.
Key Responsibilities:
Relationship & Board Management
- Provide new board member orientation and training.
- Respond to board and homeowner inquiries via email, phone, and in-person visits.
- Maintain and enforce HOA bylaws, restrictions, and community guidelines.
- Stay updated on legislation and ordinances affecting the HOA.
Board & Annual Meeting Coordination
- Prepare agendas, notices, and board meeting packets.
- Attend and participate in HOA and committee meetings.
- Publish meeting minutes within required timelines.
- Assist with annual meetings, including owner lists, notices, and financial reports.
Financial Management
- Collect homeowner dues and process payments via check, credit card, and online systems.
- Reconcile accounts, manage accounts payable/receivable, and handle monthly financial reporting.
- Issue late notices, track delinquencies, and initiate collection efforts when necessary.
- Assist with budget preparation and financial forecasting.
- Oversee tax management, including property taxes and filings.
Community Compliance & Site Management
- Conduct site inspections to ensure compliance with deed restrictions.
- Issue violation notices and maintain compliance records.
- Manage Architectural Control Committee (ACC) submissions and approvals.
- Oversee security personnel, including scheduling and communication.
- Ensure proper maintenance of community amenities and facilities.
Vendor & Service Provider Coordination
- Manage vendor contracts, bids, and ongoing service provider relationships.
- Ensure timely maintenance of landscaping, janitorial services, pool services, and facilities.
- Monitor and approve vendor invoices for payment processing.
Resident Services & Communication
- Maintain homeowner databases and contact history records.
- Manage online portals for residents, vendors, and board members.
- Prepare and distribute community newsletters, updates, and notices.
- Organize community events such as holiday celebrations and National Night Out.
- Assist new homeowners with welcome packets, amenity access, and car stickers.
Administrative & Office Duties
- Oversee record-keeping, document storage, and compliance with legal requirements.
- Process resale certificates and respond to lender and title company inquiries.
- Manage community mailing services, assessment collections, and financial documentation.
- Ensure proper functioning of office equipment and technology systems.
- Oversee Safety Officer and Pool Monitor scheduling/ hiring
- Coordinate payroll for all employees and seasonal staff currently (7-12 FT/PT staff)
Qualifications & Skills:
- Experience in HOA management, property management, or administrative leadership.
- Must have experience working in a Homeowners Association
- Experience working with community budgets in excess of $500k/ year
- Strong knowledge of accounting systems and financial reconciliation.
- Excellent communication and conflict resolution skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Familiarity with local HOA laws and regulations is a plus.
- Proficiency in Microsoft Office Suite, online portals, and record-keeping software.
Work Schedule:
- Full-time, Monday–Friday (Office hours are 8:30-4:30)with 2 Monday evenings/ month (community board meeting, executive session)
