The Details:
Location: Headquartered in Downtown Seattle, remote work available in WA.
Work Schedule: Our typical business hours are 8:30-5:00 PT Monday-Friday.
Travel Requirements: Up to 40%, with travel into headquarters, 1-2 times a week or more.

About the Position:
Reporting to the Manager of Facilities and Administration and supporting the Chief Legal Officer, Managing Director of Equity and Learning, Director of Legal and Compliance, Deputy Director of People and Culture and the Director of Customer Experience. This position will provide a wide variety of confidential responsibilities including litigation support, heavy calendaring, coordinating travel arrangements, typing various documents (including Board Minutes and memos, etc.) and may be responsible for projects. The qualified candidate must be detail-oriented, able to use independent judgement and juggle diverse responsibilities with shifting priorities, flexible enough to enjoy the unpredictable nature of working in an operations role yet have the ability to demonstrate both proactive thinking and taking initiative in this fast-paced environment. The candidate must be a team player and be willing to pitch in where and when it is needed while dealing with ambiguity.
You Will:
- Provide calendar support for the members of Operations, Project Managment Office and Legal team’s leadership, including scheduling meetings, coordinating internal and external meeting attendees, identifying the need for and coordinating meeting materials, and identifying and addressing meeting conflicts;
- Support expense reporting, including collection of documentation and utilizing an online platform to approve and submit expense reports;
- Support time sheet management, including utilizing an online platform to approve and submit employee time cards;
- Organize and provide logistical support for meetings, conference calls and special events including but not limited to catering, scheduling and the development of supporting materials;
- Support invoice processing, including coding, signature collection and processing;
- Support contract management, including utilizing an online platform to submit and manage vendor contracts;
- Follow-up and track outstanding correspondence;
- Provide travel coordination, including calendaring, conference registration and booking travel and lodging;
- Provide general administrative support, including providing back-up support for board management;
- Interact with and provide board support to staff, including at Board of Trustee Meetings;
- Perform general administrative duties to include, but not limited to copying, emailing, scanning, faxing, processing mail, ordering office supplies, validating parking, responding to inquiries submitted to the Facilities and Administration team, mailing, filing, agendas and board minutes;
- Perform other duties commensurate with the level of position, as assigned.
You Will Need to Have:
- 3-5 years working as an organized professional or experience in an operational setting;
- 2 years’ experience working as a legal or administrative assistant in a fast-paced environment with rapidly changing priorities;
- Demonstrated ability to balance multiple priorities and proactively address the needs of team members;
- Expert level experience using workplace productivity tools focusing on Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), typing 50 wpm;
- Ability to keep information strictly confidential;
- Highly organized and detail oriented with the ability to prioritize workload and be resourceful;
- Demonstrated ability to communicate effectively to internal and external partners;
- Ability to pro-actively, creatively solve problems and meet deadlines, with minimal support;
- Adept at learning new systems and software;
- Event planning experience;
- Strategic problem solving skills;
- Ability to lift up to 50 pounds occasionally;
- An exceptional customer service mentality with a high sense of urgency;
- Excellent verbal and written communication skills;
- Ability to work independently and as part of a work team.

- Bachelor’s degree in applicable subject area;
- SharePoint and Visio experience preferred;
- Experience with a mission driven organization;
- Experience working in a legal or healthcare environment preferred.
Salary Range:
- $60,316.58 to $78,699.46
