Job Summary
We are seeking an experienced and detail-oriented Logistics Coordinator with a focus on Ocean Imports to join our team. This role requires managing the end-to-end ocean freight process, including import documentation, customs clearance, and delivery coordination. The ideal candidate will be familiar with CargoWise software and have a background in import logistics, with a particular focus on ensuring the smooth movement of freight from origin to final delivery.
Responsibilities
- FCL & LCL Management: Handle Full Container Load (FCL) and Less than Container Load (LCL) shipments with appropriate processes and documentation.
- Email & Communication Management: Monitor emails daily for communications and documents from origin (e.g., bills of lading, document review, ISFs).
- ISF Filing & Follow-up: Forward ISFs to customs brokerage for filing and ensure timely follow-up on clearance status.
- Document Review: Review all shipment documents to ensure alignment with booking orders.
- Freight Billing: Bill freight charges and promptly send freight invoices and associated documentation (via email or mail).
- Shipment Tracking: Continuously track ocean LCL and FCL shipments to ensure movement and timely arrival to final destination.
- Commercial Documents: Obtain required commercial documents from suppliers or vendors (e.g., commercial invoices, packing lists).
- Delivery Order Issuance: Issue Delivery Orders and coordinate dispatch of Full Container Load (FCL) deliveries to trucking companies.
- Arrival Notices: Obtain arrival notices from shipping lines or co-loaders and ensure all necessary documentation is sent to the brokerage department for customs clearance.
- Customs Clearance Coordination: Work with customs brokers to obtain customs clearance and facilitate any required documentation or duties.
- Freight Tracking & Coordination: Manage tracking for shipment arrivals, coordinating with trucking companies and customers for scheduled delivery dates.
- Container Management: Ensure containers are gated out for delivery, delivered per appointment requirements, and empty containers are returned within required timelines.
- Post-Delivery Documentation: Obtain Proof of Delivery (POD), delivery invoices, and enter related delivery costs into the system.
- Data Entry in CargoWise: Regularly update milestones and upload Electronic Documents (EDOCs) into CargoWise, ensuring accuracy and compliance.
- Training & Development: Over time, transition into the front-end of ocean imports, which includes quoting, FMC filing, booking, and routing imports.
Requirements
- 1 years of experience in import logistics.
- Familiarity with CargoWise software for data entry and tracking is a plus.
- Basic understanding of ocean imports processes, including customs filing, freight billing, and shipment tracking us a plus but not required.
- Excellent attention to detail, organization, and time-management skills.
- Must be a team player and willing and able to work in a team environment.
- Ability to manage multiple tasks and deadlines in a fast-paced environment.
- Strong communication skills, both written and verbal, for liaising with customers, vendors, and customs brokers.
- Knowledge of ISF filing, FMC regulations, and customs clearance procedures is a plus but not required.
- Ability to work independently and as part of a team.
- Knowledge of LCL processes and related logistics operations is a plus but not required.
