What are the responsibilities and job description for the Event Planner/ Manager position at Select Source International?
Overview
- Responsible for management of projects, finances, stakeholders, contracts, and more. Manage the process for client conferences, regardless of delivery format being internal, external, hybrid, and virtual. Consulting with internal business owners as well as managing the planning and executing logistics, facilitating agenda development, including venue RFPs and selection, and managing budgets. Every action and responsibility is to support and enhance the image and goals of the client and Plans and the Blues as a whole. This includes being an industry expert as it pertains to meetings and conferences and the Blue system as a whole.
- Manage all logistical details from start to finish to encompass all detailed needs and ensure programs come in at or under budget. Current events include FEP, dues funded and fee for service events.
- Provide direction and input to the RFP process for venues and suppliers to best align with the goals of a given meeting. Use history and knowledge to determine best options to recommend to the client while meeting financial goals.
- Travel to meetings when needed and oversee all details from start to finish, when needed. If not traveling, facilitate information sharing to the on-site clients /Blue Plan contact to ensure a seamless transition of knowledge to optimize the execution of the program.
- Manage programs to provide education, to Plan participants. This includes facilitating timelines to enforce deadlines so deliverables are met and ensuring the goals of a project are met at a high level of success.
- Envision how the spaces at venues can be created to accomplish our meeting goals and vet venues and identify potential challenges as well as strengths to work with the venues and communicate to the clients to create an optimal experience on a given program.
