Position Title: Billing Specialist and Administrative Assistant
Employment Type: Full-Time
Hours: Monday - Thursday, 8:30 AM - 5:00 PM & Friday, 8:30 AM – 3:30 PM

We are seeking a detail-oriented Administrative Support Specialist who will play a vital role in ensuring smooth billing processes and efficient administrative operations.
Key Responsibilities
Billing Responsibilities:
- Process, monitor, and manage insurance claims and payments.
- Reconcile accounts, resolve discrepancies, and ensure accurate billing.
- Maintain up-to-date knowledge of mental health billing practices and insurance requirements.
- Communicate with insurance companies and clients to address billing inquiries or issues.
- Utilize billing platforms and software to manage records and generate reports.
- Assist in preparing and sending out statements to clients.
Administrative and Front Desk Responsibilities:
- Greet and check in clients, ensuring a welcoming and professional front desk experience.
- Answer phone calls, schedule appointments, and manage client inquiries.
- Maintain the cleanliness and organization of the front desk and reception area.
- Ensure proper documentation and compliance for client files.
General Office Support:
- Assist with administrative tasks such as data entry, filing, and preparing reports.
- Manage office supplies and coordinate with vendors as needed.
- Support other team members with special projects or tasks as required.
Qualifications
Required:
- High school diploma or equivalent (Associate's or Bachelor's degree preferred).
- Exceptional organizational skills and attention to detail.
- Ability to handle confidential information with discretion.
- Strong interpersonal and communication skills, both written and verbal.
Preferred:
- Experience in healthcare billing.
- Experience with mental health billing platforms and coding (e.g., CPT codes, ICD-10).
- Familiarity with insurance verification and authorization processes.
- Prior experience in a front-desk or customer-facing role.
