Employment Type : Full-Time

Hours : Monday - Thursday, 8 : 30 AM - 4 : 30 PM & Friday, 8 : 30 AM 3 : 30 PM

We are seeking a detail-oriented Billing Specialist and Administrative Assistant who will play a vital role in ensuring smooth billing processes and efficient administrative operations.

Key Responsibilities

Billing Specialist Responsibilities (Afternoons) :

  • Process, monitor, and manage insurance claims and payments.
  • Reconcile accounts, resolve discrepancies, and ensure accurate billing.
  • Maintain up-to-date knowledge of mental health billing practices and insurance requirements.
  • Communicate with insurance companies and clients to address billing inquiries or issues.
  • Utilize billing platforms and software to manage records and generate reports.
  • Assist in preparing and sending out statements to clients.

Administrative and Front Desk Responsibilities (Mornings) :

  • Greet and check in clients, ensuring a welcoming and professional front desk experience.
  • Answer phone calls, schedule appointments, and manage client inquiries.
  • Maintain the cleanliness and organization of the front desk and reception area.
  • Ensure proper documentation and compliance for client files.

    • General Office Support :

  • Assist with administrative tasks such as data entry, filing, and preparing reports.
  • Manage office supplies and coordinate with vendors as needed.
  • Support other team members with special projects or tasks as required.

    • Qualifications

    Required :

  • High school diploma or equivalent (Associate's or Bachelor's degree preferred).
  • At least 2 years of experience in healthcare billing, with a strong preference for experience in mental health billing.
  • Proficiency with healthcare billing platforms and tools.
  • Exceptional organizational skills and attention to detail.
  • Ability to handle confidential information with discretion.
  • Strong interpersonal and communication skills, both written and verbal.

    • Preferred :

  • Experience with mental health billing platforms and coding (e.g., CPT codes, ICD-10).
  • Familiarity with insurance verification and authorization processes.
  • Prior experience in a front-desk or customer-facing role.

    • Skills and Competencies

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and billing software.
  • Ability to multitask and prioritize tasks efficiently.
  • Comfortable working in a fast-paced environment.
  • Customer service-oriented with a focus on creating positive client experiences.
