We are seeking a Maintenance Supervisor to join our Durham, NC team!

The Maintenance Supervisor is responsible for overseeing the day to day operation, repair and proactive maintenance of commercial real estate buildings directly managed by Self-Help, will serve as the maintenance point of contact for the commercial buildings located outside of Durham where routine maintenance and emergency responses are handled by outside vendors, and will supervise designated staff and/or contract providers. While this role includes handling some building and maintenance tasks personally, it will primarily supervise the work and activities of both internal staff and outside vendors to ensure all needed routine and preventive maintenance and repair work is done, and responses to emergency are provided, as needed. The Maintenance Supervisor will work closely with the Property Manager and supervise the Maintenance Technician to identify the best solution for local maintenance/facilities needs and will provide back up support to the Maintenance Technician, when needed. 

WHAT You'll DO:

Responsible for overseeing all routine, preventive and emergency responses of day to day operations and the physical care of the commercial buildings in the portfolio, including: 

  • Under the direction of the Property Manager assist with preparation of scope, bidding and management of maintenance contracts with third party companies who perform routine services to major building systems, including HVAC, elevator, fire alarm, roof, life safety, exterior building maintenance and general maintenance duties. 
  • Supervising the operations of internal staff, contractors and their assigned workers; preparing/reviewing the scope of work; following up to ensure tasks are completed safely, effectively and pursuant to the contract; and utilizing best practices while keeping operating costs as low as possible. 
  • Coordinate other maintenance tasks beyond major systems, including plumbing, electrical and lighting repairs (including Green initiatives), and maintenance of access controls, signage, exteriors walls, doors and plate glass. 
  • Perform periodic emergency and life safety inspections and evacuation/shelter-in  exercises, inspect fire extinguishers, exit signs and all components of life safety systems. 
  • Manage remote/digital HVAC control systems, building schedules and other building conditions. 
  • Assist Property Manager, when needed, with make-ready and/or turn-over of new space. 
  • Assist Property Manager with annual budgets, including operating expenses and capital improvements. 
  • Maintain accurate and current building records, including bid documents, contracts and O&M manuals, and assist Property Manager with maintaining Vendor files and records in the facilities management system.     
  • Supervise third party contract providers for owned properties outside of the Durham area and inform Property Manager of progress, accomplishments and areas of improvements. Regularly communicate with contractor, track and document work requests, review routine property inspection reports and regularly travel to remote properties for periodic inspections and emergency responses.   
  • Serve as first point of contact for all on-call facility/building needs and determines best course of action to address. Delegate on-call duties to Maintenance Tech, as deemed appropriate.  
  • Assist Property Manager and Director, Property & Asset Management with capital improvement projects, including scope, bidding and completion per contract. This will include some oversight of the project and meetings with the vendors performing the work.  
  • Participate actively in the review of plans for new development projects and assist Property Manage with due diligence for new acquisitions. 
  • Perform other duties as may be deemed necessary. 

 

WHAT You’ll NEED:

  • High school diploma or equivalent required. 
  • 5 years prior commercial real estate maintenance experience managing multiple buildings or a minimum of 200,000 square feet of commercial space. 
  • 3 years prior experience managing contractors and/or other maintenance staff. 
  • A NC Driver’s license and ability to travel to other properties required.   
  • Certification in HVAC maintenance is desired but not required. 
  • A license in any of the field trades like electrical, plumbing, life safety, equipment, property maintenance, etc. is desired but not required.  
  • Ability and willingness to handle after-hour on-call duties.  
  • Familiarity with work order systems is preferred but not required, and experience with Yardi systems a plus. 
  • Strong written and verbal communication skills. 
  • Ability to effectively plan and organize work. 
  • Ability to form and maintain strong relationships with internal and external customers through providing excellent customer service and follow-up. 
  • Ability to delegate work effectively and manage and document progress. 
  • Ability to initiate and juggle multiple projects and work independently to meet goals, objectives, and deadlines. 
  • Ability to work independently with a minimum amount of direct supervision. 
  • Ability to interface with multiple outside vendors and contractors and supervise their work.   
  • Familiarity and experience (minimum of 6 months) using computers for emailing, calendaring, tasks, use of custom property management and HVAC software. 
  • Ability to travel as needed, estimated at 15%

Compensation:

Competitive nonprofit compensation, based on experience, plus a generous benefits package. Compensation ranges for each position are based on local market rates and will be determined by geography, role, and experience.
