Job Profile and Description
The Executive Administrative Assistant is responsible for overseeing the front office, reception duties, opening the office and adhering to the strategic plan of the organization. Other key duties include medical billing, client record maintenance, filing, scanning, mailing, uploading documents to electronic records and answering phones, The position reports directly to the Executive Director.
Key Duties and Responsibilities
· Billing medical services weekly.
· Communicate with electronic medical records vendor weekly to verify and rebill claims submitted and process denials.
- Receiving intake and referral information.
- Organize and manage all billing reports and documents.
- File physical and electronic medical documents in client files.
- Upload consumer documents to electronic medical records.
- Process medical records request.
- Verify insurance and eligibility for all consumers prior to services starting.
- Attend scheduled administrative team meetings and record the minutes.
- Maintain office supplies and inventory.
- Monitor office operations.
- Maintain office upkeep and cleanliness daily.
- Organize and mange submitted time sheets.
- To enforce and adhere to Selfless Foundation policies and procedures.
- Enter client information into electronic medical records software.
- Monitor, manage and keep records of agency expenditures and receipts.
- Maintain petty cash.
- Budget management of office expenses.
- All other administrative duties as assigned.
- Attend all provider trainings.
- Attend all work related trainings.
Education Qualifications
Associates Degree or higher in Medical Administration/Health Care Management with a minimum of 4 years related experience in administration, medical records, medical billing and customer service. Candidates will demonstrate strong skills in time management, medical billing, customer service, verbal and written communication skills, research, records management and organization. Previous experience working in North Carolina mental and behavioral health care settings is required. Must have knowledge and understanding of Mental Health, Substance Abuse, Development disabilities clinical services, levels of care and policies.
Knowledge's and Skills
- Knowledge of medical billing and records management requirements for public and private insurances.
- Knowledge of North Carolina Division of Mental Health, Developmental Disability, Substance Abuse policies and procedures and billing codes for behavioral and mental health services.
- Knowledge of financial management and profit/loss statements.
- Must have exceptional time management skills to complete daily administrative task and assigned administrative projects.
- Knowledgeable about HIPPA compliance.
- Very skilled and use of office equipment such as phones, faxes, complex printers and other office systems.
- Very skilled modern technology and use of emails and other electronic communications.
- Very skilled in the use of electronic signature software and sending and receiving electronic documents.
- Must have a minimum of 4 years experience in billing NC Medicaid and Medicare services.
- Must be dependable and able to work on team and/or independently.
- Must be able to work in fast pace environment.
- Must exhibit exceptional problem-solving skills and research.
- Must exhibit exceptional professional communication skills with co-workers, supervisor, insurance providers, clients, referral sources and other partnering agencies.
- Must be punctual and present professional at all times.
Job Type: Full-time
Pay: $45,000.00 - $65,000.00 per year
