TITLE: Elementary School Building Secretary
REPORTS TO AND IS EVALUATED BY: Principal or Assistant Principal.
TERMS OF EMPLOYMENT: Full-time bargaining unit position – 12-month work year; FLSA Non-Exempt.
ANTICIPATED START DATE: July 2025
LOCATION: Sellersville Elementary
COMPENSATION: In accordance with PESPA Collective Bargaining Agreement
PRINCIPAL FUNCTION: To ensure the efficient day-to-day operation of the school in supporting the Principal and Assistant Principal in delivering an effective educational program for all students in a safe, cooperative environment which promotes learning and positive self-discipline. Division of work assignments will be at the discretion of the Principal/Assistant Principal based on skills and qualifications of secretaries that allow for efficiency in the office.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Act as liaison between/among parents, students, staff, the press, and the general public by providing help/assistance where needed to foster an attitude of cooperation and positive relations.
- Assist parents/guardians with PowerSchool parent portal, account creation, field population, logon, and troubleshooting challenges.
- Maintain an efficient filing system for building files as well as all correspondence, reports, etc. generated and received by the principal and assistant principal(s).
- Manage visitor/vendor/volunteer access to the building in accordance with district policy to maintain a safe and secure school environment.
- Sign in and assist building substitutes. Assign substitutes and teachers any coverages for unfilled jobs. Verify accuracy of substitute report for Human Resources.
- Support and implement accounting functions of the building, including, but not limited to, assisting in budget preparation, generating purchase orders, receiving supplies, and maintaining an inventory of the same.
- Assist with yearly scheduling of student courses and teacher schedules utilizing appropriate system software.
- Assume other duties as assigned by the Principal/Assistant Principal within scope of employment.
EDUCATION/EXPERIENCE:
- High School Diploma or General Equivalency Degree (GED).
- Associates Degree in Business or a related field preferred.
- Two (2) years of post-secondary education and three (3) years secretarial experience, preferably in a public-school setting, or five (5)- years-experience in a position of comparable responsibility.
QUALIFICATIONS/REQUISITE SKILLS:
- Strong organizational, communication, and interpersonal skills, including the ability to relate effectively with students, staff, parents, and the community in general.
- Understanding of and commitment to confidentiality.
- Strong Microsoft office and computer skills.
- Prior experience in an educational setting preferred.
