Overview
We are seeking a detail-oriented and organized Tax Administrative Assistant to support our corporate tax department with administrative and clerical duties. The ideal candidate is proactive, efficient, and able to manage multiple deadlines while handling confidential information with discretion. This role is essential in helping the tax team stay organized and operate efficiently.
Responsibilities
• Maintain and organize tax department files (physical and electronic), ensuring accurate document retention.• Track and monitor tax filing deadlines and assist in maintaining the tax compliance calendar.• Assist with the preparation and submission of tax forms, notices, and correspondence.• Assist in processing invoices and tax payments.• Coordinate internal and external communications, including scheduling meetings, calls, and tax audits.• Assist with the collection and organization of financial data and signatures needed for tax filings.• Manage incoming and outgoing mail related to tax notices and filings.• Create and maintain spreadsheets, checklists, and status reports for various tax processes.• Support the tax team with ad hoc administrative projects and general office support.
Qualifications
• 1–3 years of administrative experience, preferably in a finance or legal environment.• Strong proficiency in Microsoft Office Suite (Excel, Outlook, Word, Teams).• Excellent organization, time management, and communication skills.• High level of discretion and professionalism in handling sensitive information.• Ability to work both independently and collaboratively in a fast-paced environment.• Attention to detail and accuracy.• Eagerness to learn tax processes and terminology.• Strong sense of ownership and follow-through on tasks.• Flexibility to adapt to changing priorities.• Familiarity with tax systems (e.g., Corptax, OneSource, or similar) is a plus.
