The Sr. Payroll Specialist is responsible for processing payroll for Seneca Family of Agencies, which includes exempt and non-exempt personnel in a multi-state environment. This position will interact with different stakeholders within the agency to ensure that accurate payroll payments are completed while ensuring compliance with company policy and procedures as well as Federal, State and local payroll tax regulations. This position is also responsible for investigating inquiries from employees regarding their payments and delivering quality customer service.

Responsibilities
- Full-cycle processing bi-weekly payroll for employees in multi-states.
- Process off-cycle payments, adjustments and reversals
- Process checks for termination
- Review and process hours from our UKG/WFM timekeeping system on a bi-weekly basis. Follow up with supervisors to resolve timekeeping system issues in a timely manner.
- Create reconciliation reports at month/year end for 403b, benefits and other related requests.
- Update payroll records and follow procedures for salary changes and department transfers.
- Timely reporting changes in individual employee benefit coverage.
- Submitting required reports for remittance of garnishments and flexible spending account (FSA) payments.
- Complete tax payment remittances.
- Assist with Payroll compliance matters such as multi-state tax withholding, garnishments, and key annual internal and external audits.
- Manage federal and multiple state tax filings.
- Assist with production and review of W-2s, ensure W-2s are issued accurately on time.
- Verify qualifications for vacation, sick, etc. pay for requesting employees.
- Maintain active and inactive payroll files.
- Provide standard and ad-hoc payroll reports to various internal departments such as FinOps, Accounting, Program Directors and CPOs.
- Provide great customer service to employees with questions related to payroll, benefits deductions and taxes.
- Exercise confidentiality in both internal and external matters.
REQUIRED
- Education/experience requirement:
- Bachelor’s degree in finance, accounting, or a related field OR
- Minimum of 5 years of experience in payroll processing with a focus on multi-state payroll.
- Knowledge of payroll laws, taxes, and resources.
- Experience with multi-state payrolls
- Proficient in Microsoft Excel
- TB test clearance, fingerprinting clearance, and any other state/federal licensing or certification requirements.
- Previous experience with UKG Pro/WFM preferred.
- FPC or CPP certification preferred
- Ability to effectively communicate with employees and management (oral and written).
- Ability to function effectively under pressure and make decisions with minimal supervision.
- Ability to adapt to procedural changes and upgrades.
- Ability to multi-task
- Ability to work independently and prioritize tasks effectively to meet payroll deadlines.
- Strong organizational and time management skills.
- Attention to detail and accuracy.
- Full-time; Monday - Friday 9:00am - 5:00pm
- Hybrid
- Travel required to Oakland office and shipping locations (for mail drop offs) as needed
- Starting at $33.42 - $35.92 per year.
- Actual salary dependent on creditable experience above the minimum qualification.
- Additional compensation provided upon passing bilingual language proficiency exam.
