SCHAS is seeking a highly organized and detail-oriented Data and Document Coordinator to manage and maintain the organization’s documents and data. This role ensures that all records—both electronic and physical—are accurate, secure, and compliant. The Coordinator will also serve as a backup to Human Resources and assist the COO with administrative tasks.
Key Responsibilities:
Document Management:
- Maintain the organization and categorization of electronic and physical records to ensure easy retrieval.
- Ensure all documents are accurately labeled, filed, and archived according to regulatory and company guidelines.
- Conduct regular reviews and audits to ensure records remain current and compliant.
Data Management:
- Update and maintain databases with a focus on accuracy and security.
- Follow established data entry protocols to ensure data integrity.
- Monitor access to sensitive data and enforce confidentiality standards.
- Input employee information into the Generations system and ensure updates are completed as necessary.
Confidentiality & Security:
- Handle sensitive information, including employee records, financial data, and documents, with the utmost confidentiality.
- Ensure compliance with existing security measures to prevent unauthorized access to sensitive information.
Compliance & Reporting:
- Prepare reports on document and data management activities as required.
- Follow established document retention schedules and policies.
- Audit employee and client files to confirm compliance with all legal and regulatory standards.
- Complete monthly OIG and SAMS reports and ensure annual reports are submitted.
Employee Records:
- Verify personal and professional references for new employees as needed.
- Archive records for discharged employees, including personnel, medical, and benefits files.
Support & Collaboration:
- Collaborate with HR, Finance, Operations, and other departments to ensure accurate and efficient record-keeping.
- Serve as a backup to HR during emergencies, assisting with worker’s compensation inquiries and benefits-related tasks.
- Provide administrative support to the COO as required.
Education & Experience:
- Associate or bachelor’s degree in human resources, Business Management, or a related field is required.
- Minimum 2 years of office experience, preferably in document and data management.
- Must be 18 years of age.
- Valid driver’s license with minimum liability auto insurance coverage ($100,000/$300,000 if travel is required).
- Ability to pass a background check and drug screening.
- Verifiable personal and professional references required.
