Title: Program Assistant
Purpose: The Program Assistant serves as the primary representative of the administrative office. This role involves overseeing the office reception area to ensure a professional and positive experience for members, clients, community partners, staff, and the public.
Responsibilities:
· Warmly and professionally greet and welcome members, clients, visitors, employees, and volunteers.
· Serve as a central point of contact for internal and external communication, directing inquiries to the appropriate departments or individuals while providing accurate information.
· Log phone calls into agency databases following established policies and procedures.
· Email staff as needed to return phone calls.
· Maintain a clean and organized reception area that reflects the organization’s values.
· Assist members and clients with scheduling services, including transportation, events, and trips.
· Anticipate and promptly address the needs of members, clients, and visitors, demonstrating attentiveness and empathy.
· Provide support to the Office Administrator as needed and requested.
· Act as a brand ambassador, positively representing the organization’s culture and values to members, clients, visitors, volunteers, and employees.
· Communicate effectively and accurately with members, clients, visitors, and volunteers by maintaining current knowledge of the agency’s news, including daily programming, trips offered, and special events.
· Conduct intake with new members, ensuring required paperwork is completed accurately and member photo is taken during intake.
· Enter intake information and member photos into the database.
· Be flexible and adaptable based on the changing needs of the office.
· Assist with serving lunch and other program services as requested.
Qualifications:
· Ability to work effectively in a fast-paced environment and remain calm in moments of stress or high-pressure situations
· Skilled at managing, organizing, and executing events and multiple projects simultaneously
· Excellent written and verbal communication skills
· Strong customer service and relationship-building skills
· Effective listening skills, mainly when offering customer support to seniors
· Strong organizational skills and attention to detail
· Quick learner who can adapt to new tools, technologies, and tasks.
· Proficient in Google Suite - Google Calendar, Gmail, and Google products such as One Drive, Docs, and Sheets.
· Skilled in Microsoft Office 365, including Word, Excel, PowerPoint, Publisher, and Outlook.
· Possess a positive can-do attitude
· Maintain a neat, clean, and professional appearance.
· Capable of lifting 50 lbs. and standing for extended periods when needed.
