Billing Coordinator
“People Helping People,” has been the foundation of Senior Friendship Centers for 50 years, and we are looking for a dynamic Part-time Billing Coordinator! The Billing Coordinator will oversee data production and billing for the Case Management department and will ensure the quality of the data produced. They will perform daily data entry, report generation activities, and assist with tracking contract spending in compliance with various program regulations.
This position is mostly remote and will work 20 hours a week, Monday – Friday during regular business hours. The applicant will need to live within commuting distance to our Sarasota Campus for training and required in-person meetings with advanced notice. The successful applicant will be an organized individual who routinely reaches deadlines. The mission of the Senior Friendship Centers is to promote health, dignity and quality of life throughout the journey of aging. Older adults throughout four counties in Southwest Florida rely on Senior Friendship Centers for help with nutrition, adult day services, social engagement, education, help in times of crisis, and so much more.

Essential Functions:
Operational
- Oversee and manage the department’s data, ensuring it meets predetermined contractual or policy requirements.
- Responsible for inputing submitting billing units produced by case management.
- Develop and implement billing procedures for subcontractors. May resolve conflicts with vendor billing when necessary. Provides vendor training and fields vendor questions.
- Responsible for timely and accurate reporting to fiscal and AAA, including monthly, quarterly, and other reports.
- Serve as the point person for data-related tasks.
- Reviews prepared data to ensure it is adequate, accurate, and complies with guidelines.
- Develop and coordinate procedures for daily data entry including worksheets, billing, filing systems, and vendor invoice reconciliation.
- Work with the Supportive Aging Services Director to implement procedures for grant expenditure monitoring internally, monitor budgetary status and expenditures to achieve goals.
- Work with the Supportive Aging Services Director to ensure compliance with regulations, policies, and procedures on grant expenditures to achieve fiscal goals.
- Train case aide and data entry personnel. Coordinate with database programs to ensure program data is being recorded appropriately and accurately.
- Verify contracted services weekly. Submit reports as required and appropriate.
- Assist various agencies and departments in providing information required during monitor and audit visits.
- Provide administrative support to the Supportive Aging Services Director as necessary.
- Run programmed system reports upon request.
- Informs Supportive Aging Management and staff of vendor service concerns.
- Assist with preparation for Fiscal and program monitoring.
- The position requires schedule flexibility as it deals with deadlines for reporting and information gathering.
- Maintain strict standards of quality control.
- Must comply with HIPAA regulations and OSHA laws and safety guidelines.
Organizational:
- Attend staff meetings, training, and seminars as required.
- Participate in fundraising and outreach activities to promote the organization’s mission.
- Must comply with all Senior Friendship Centers personnel policies.
- Must protect the safety and health of staff, volunteers, participants, and others by observing and following the organization’s safety and incident policies.

Education, Experience, Licenses, and Certifications:
- Degree in Management Information Systems or related field is preferred, or any equivalent combination of training and experience which provides the requisite knowledge, ability, and skills to perform the essential functions of the job.
- Advanced computer skills are required; including Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
- Two years of experience with data management is desired.
- Experience in Social Work, Sociology, Psychology, Gerontology, Human Services, or a related field is preferred.
Physical Demands:
- Prolonged periods sitting at a desk, working on a computer, and standing.
- Must be able to lift 10 pounds.
- Must be able to navigate various departments of a physical location.
Travel:
- Travel within the several counties in which Senior Friendship Centers Inc. operates may be required as frequently as needed to support operations, fundraising, and outreach.
- Must have reliable transportation.
- A valid driver’s license and proof of insurance are required for all work-related travel.
Additional eligibility requirements:
- Satisfactory clearance of a fingerprint-based, level II background screening and pre-employment substance abuse testing is required.
- Must be authorized to work in the United States.
