Job Responsibilities
- Welcome all visitors at the front desk and provide outstanding hospitality.
- Coordinate meetings including scheduling, reserving rooms, ordering food or snacks and other supplies. Coordinate technology needs. May provide tech support for company meetings.
- Maintain the overall appearance of the office including the breakroom and ensure it is clean and stocked. Liaise with building management to coordinate repairs.
- Maintain common storage areas, keeping inventory and ordering supplies as needed.
- Maintain company equipment such as printers, postage machine, and phones. Serve as administrator of company phone system. Coordinate service with vendors as needed.
- Ordering company lunches and birthday cakes as needed
- Coordinate office mailings as needed.
- Coordinate team member traveling as needed. Book flights, hotels, transportation and travel details
- Assist job candidates with starting job applications at front desk
- Coordinate new hire activities including ordering business cards, preparing nametags, coordinate computer and phone set up and assist in preparing new hire gifts.
- Prepare Orientation packets and gifts. Assist in coordinating follow up orientation days.
- Schedule and coordinate Interviews for recruiters as needed.
- Assist in caregiver support including sending incentive and recognition gift cards, birthday and anniversary cards, updated expired documents, creating nametags, coordination of events and coordinating caregiver quarterly surveys

EDUCATION AND/OR EXPERIENCE:
- High School Diploma or equivalent required. Some college a plus.
- 1-3 years of administrative experience
- Experience with Microsoft Word, Excel and Google Suite. Strong technical acumen.
- Outstanding organization and planning skills with an exceptional attention to detail.
- Gifted in hospitality and ability to provide a welcoming and pleasing office environment.
- Excellent written and verbal communication skill
- Strong sense of professionalism, integrity and responsibility. Performs with excellence in mind.
- Ability to work with team members and executive leadership team and vendors.
- Demonstrated ability to follow through with assignments to completion and closed -loop communication.
- Ability to handle sensitive and confidential information with discretion.
- Great prioritization skills and a proven track record of effectively managing work flow to complete tasks timely.
- Ability to work independently, make sound decisions and solve problems.
- Ability to work in the office Monday thru Friday, 8:00 am – 5:00 pm
- Ability to sit for extended periods of time and to move intermittently throughout the workday
- Strong sensory skills, such as good eyesight, good hearing, and dexterity
