Key Responsibilities:
Leadership
- Lead and develop a high-performing Front Office team, overseeing hiring, training, and performance evaluations.
- Ensure the productivity and actions of the front office team align with operational goals and enhance patient experience.
- Manage employee performance to ensure employees’ skills meet and/or exceed the expectations of their roles.
- Oversee staffing coverage for front office and scheduling teams while maintaining alignment with facility budgets, patient flow, and physician expectations.
- Develop and implement process improvement plans to optimize front office workflows and enhance efficiency.
- Conduct monthly staff meetings to communicate updates, address concerns, and reinforce best practices.
- Maintain doctor schedules to ensure adequate clinic coverage, preventing disruptions to patient care.
- Provide guidance to Surgery Coordinators on insurance updates, surgery guidelines, and protocols.
- Foster a positive and solution-driven work environment, promoting adaptability to system and process changes in healthcare delivery.
- Ensure front office areas remain clean, organized, and equipped for smooth daily operations.
- Oversee employee scheduling templates and surgery block management for optimal efficiency across clinics.
- Assist in the development and implementation of ENT Center quality assurance and utilization programs.
- Monitor and report key performance indicators (KPIs) such as no-show rates, over-the-counter collections, end-of-day reconciliation, and patient/surgery volumes.
- Manage work queues, electronic medical record (EMR) templates, and document scanning into the EMR system.
- Supervise and optimize the phone tree system to minimize patient wait times across all facilities.
- Maintain proper supply levels, oversee supply ordering, and ensure expenditures remain within budget constraints.
- Ensure compliance with federal, state, and company policies, procedures, and regulations.
- Perform other duties as assigned to support front office efficiency and operational success.
- High school diploma or equivalent required.
- Bachelor’s degree in Healthcare Administration, Business Management, or a related field (preferred) or equivalent experience preferred.
- 3 years of experience in healthcare front office operations required, with at least 3 years in a leadership role preferred.
